Role Summary

The Collections Specialist will manage an assigned portfolio of customer accounts, ensuring timely reconciliation of invoices and payments while maintaining accurate records. This role is critical to driving effective collections and supporting cash flow management.

You'll work closely with internal teams and external customers to resolve discrepancies, manage disputes, and maintain strong relationships. This is a hands-on position ideal for someone who thrives in a fast-paced environment and enjoys problem-solving.

Key Responsibilities

• Maintain and manage an assigned portfolio of customer accounts with accuracy and timeliness
• Reconcile invoices, payments, and credits to ensure account accuracy
• Distribute statements, invoices, and dunning letters per established cadence
• Make weekly collection calls for accounts aged 30+ days and document all interactions in NetSuite
• Gather supporting documentation for credit memo requests and process approved credits
• Run and review weekly aging reports; provide updates on top accounts
• Collaborate with internal teams to resolve account discrepancies and disputes
• Partner with Cash Applications team to validate and process payments received through collection efforts
• Maintain organized documentation for audit and compliance purposes

Key Requirements

• Minimum 2 years of experience in Accounts Receivable, Collections, or related finance role
• High school diploma required; Associate's or Bachelor's degree in Accounting or Finance preferred
• Proficiency in ERP systems ( NetSuite required ) and Microsoft Office Suite
• Strong verbal and written communication skills with a customer-focused approach
• Excellent organizational skills and attention to detail
• Ability to manage multiple priorities in a fast-paced environment
• Strong problem-solving and negotiation skills

Preferred Skills

• Experience in the services industry
• Familiarity with subscription billing or multi-entity environments
