Geoquest USA Inc. (formerly The Reinforced Earth Company) is recognized as the inventor and market leader of the MSE (Mechanically Stabilized Earth) retaining wall industry. The company provides the design and supply of materials of proprietary retaining wall systems and earth related technologies to contractors and owners for use in civil engineering. Our company works as a sub-contractor / material supplier on DOT and privately owned projects. We perform all duties associated with our jobs from sales marketing civil engineering / design supply and construction support.

The Regional Administrative Assistant reports to the Division Manager and is responsible for all administrative support functions for the Regional Office as well as the day-to-day office operations along with all the tasks that are associated with those functions.

Responsibilities include :

General Office :

  • Answer telephone
  • Type letters and send emails as needed
  • Maintain digital and hard copies of general files as well as project specific files (including Sales Contract Operations and Design files)
  • Compile and deliver completed project data to Corporate Office for archiving
  • Process mail including shipping and receiving of goods
  • Maintain office supplies
  • Prepare payables for submission to Corporate Office
  • Manage interior design of office
  • Act as company interface with Building Management Team
  • Manage Office Access Security System
  • Organize and support various office social activities and functions
  • Other administrative duties as needed

Assist Regional Manager and / or Division Manager :

  • Assist in preparation of any required reports and data queries
  • Search various resources for upcoming projects
  • Acquire Contract Drawings and post to Server
  • Track Addendums and Q&A for projects bidding
  • Screen plan holders data and develop Bidders list
  • Prepare cost estimate form
  • Prepare initial quotation template
  • Process signed contracts with Corporate Office
  • Including preparation of contract budgets

  • Assist with product inquiries
  • Assist with preparation of regional tradeshows
  • Maintain historical and current project and client database
  • Other administrative duties as needed
  • Assist Project Managers with the following as requested :

  • Manage external submittal process of Shop Drawings received from Eng. Dept.
  • Download take-offs for approved Shop Drawings and maintain Take-Off Folder
  • Provide any needed support for modifications to the Job Budget and Take-Off process
  • Other administrative duties as needed
  • Education / Skill / Experience :

  • 1-3 years of administrative experience
  • Proficient in Word Excel and Access
  • Knowledge of Powerpoint Salesforce and Oracle a plus
  • Detail oriented
  • Strong organizational skills
  • Able to work in a fast paced environment with the ability to multi task prioritize and meet deadlines
  • Work Environment / Physical Demands :

    The responsibilities will be carried out in a traditional office environment under traditional office conditions. Employee will be familiar with and observe safety and security procedures and use equipment and materials properly.
