We are seeking an Administrative Assistant to support our U.S. Head Office Marketing and Communications team , which leads PCL's brand, marketing strategy, digital presence, internal communications and storytelling across the United States. This position is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced, creative environment and enjoys supporting multiple leaders and priorities.

Here's how an Administrative Assistant for our US Head Office contributes to our team :

Responsibilities

  • Provide daily administrative support to the Directors of Marketing and Communications.
  • Coordinate meetings, events, and travel logistics, ensuring materials and schedules are prepared in advance.
  • Record and distribute meeting minutes and assist with follow-up actions.
  • Draft and format memos, presentations, and internal communications for leadership distribution.
  • Prepare and reconcile expense reports and vendor invoices.
  • Manage department calendars, deadlines, and shared resources.
  • Support project documentation, including branding assets, campaign tracking, and milestone reporting.

Qualifications

  • High school diploma required
  • Post-secondary education in office administration, business, communications or a related field preferred.
  • Minimum of 3 years of experience as an administrative assistant.
  • Excellent verbal, written and interpersonal communication skills.
  • Strong ability to prioritize tasks and adapt to change.
  • Demonstrated discretion in handling confidential information.
  • Composed and professional under pressure with strong problem-solving skills.
  • Skilled in creating, editing, proofreading and formatting documents and presentations.
  • Intermediate proficiency in Word, Outlook, PowerPoint, Excel, Adobe and OneNote.

    Please note this position is in-office required. Salary range for this position is $55,000 to $71,000 dependent upon experience. We anticipate that this role will be posted for a minimum of 5 days, though it may be open for a longer period of time. We encourange your prompt application.
