Transit Admin Support Specialist III

King County Metro Transit's Rail Division has an exciting opportunity for a Transit Admin Support Specialist III. In this role, you'll provide high-level customer service support to Metro employees, internal customers, and division leaders. This includes providing administrative support to work units, supervisory staff and completing a number of daily HR-related tasks such as submitting updates for employee job information, maintaining spreadsheets, databases, and confidential information. King County Metro Transit's Rail Division manages and maintains Sound Transit's Link light rail service and City of Seattle's streetcar system. Link light rail currently spans a 33-mile route from SeaTac to Lynnwood and a 6.6-mile route from Redmond to South Bellevue. By the end of 2026, light rail is projected to expand to nearly 60 route miles, adding seven new stations. Additional expansions to the Link system will be coming online for years to come. Seattle Streetcar includes the 1.3 mile South Lake Union line and the 2.5 mile First Hill line, proudly serving the diverse and vibrant communities around Seattle's downtown core. These rail services complement Metro's extensive fixed-route bus system and mobility services. Puget Sound transit agencies are collaborating to create an integrated transit network that enables people to travel farther, faster, and more easily.

This recruitment will immediately fill two (2) fully benefitted Special Duty Assignment (SDA) positions with an anticipated duration of 6 months, with the potential to extend. This recruitment may be used to create an eligibility pool to fill future Special Duty Assignment (SDA) openings in this classification and within this division. Eligibility lists remain valid for six (6) months upon creation, or until the list is exhausted, at the discretion of the hiring authority.

This position is open to current King County employees who have passed their initial probationary period.

In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work. As the TASS III, you will :

  • Perform payroll and timekeeper functions, ensuring timely and accurate payroll processing. Verify work hours are correctly captured and time coding is reported correctly and in accordance with labor agreements. Ensure timely and accurate payroll processing through a computer-based software system.
  • Monitor, track, and analyze budget expenditures and research budget issues; order supplies and equipment; manage asset inventory information and surplus distribution processes; process uniform, shoe, and similar vouchers consistent with labor agreements.
  • Complete personnel-related documents such as position requisitions, personnel changes and special duty request forms for submittal to Transit Human Resources.
  • Track and ensure timely processing of grievance procedures, contract requirements, and next steps; schedule disciplinary meetings and hearings; take notes, prepare and distribute hearing summaries.
  • Requisition, receive and reconcile office supplies or other direct purchases to support functions performed by assigned sections.
  • Support supervisory staff with daily administrative tasks, special projects, record keeping, and schedule appointments and meetings.
  • Daily use of Microsoft Office Suite (Outlook, Word, Excel, TEAMs, SharePoint)
  • Disseminate information on changing policies, processes and procedures.
  • Develop, implement and maintain electronic and paper filing systems. Maintain and store records in accordance with the King County Records policies.
  • Maintain union correspondence, including shake-up processes, and other union coordination.
  • Coordinate the scheduling and necessary support for various committees and meetings, anticipating the needs of managers and other staff in preparation for such engagements.
  • Perform other duties as assigned.
  • Minimum Qualifications :

  • One (1) year of increasingly responsible office or administrative support; OR any combination of experience or education that clearly demonstrates the ability to perform the job duties of the position.
  • Possess knowledge of labor relations and grievance process.
  • Experience using Microsoft Word, Excel, Outlook, Teams, and SharePoint.
  • Knowledge of payroll processing operations and associated legal requirements.
  • Ability to learn software applications, including payroll and timekeeping software.
  • Demonstrate the ability to learn software application related to ordering, payment, and reconciliation.
  • Knowledge of procurement and purchasing consumable office supplies with associated legal requirements.
  • Ability to maintain strict confidentiality in the handling of sensitive data and information involving matters internal to Metro, as well as external matters involving suppliers, contractors, and vendors.
  • Demonstrated ability to establish and maintain cooperative, respectful and equitable working relations with a diverse group of coworkers, internal and external customers; ability to deal with others with tact, diplomacy, and courtesy.
  • Strong customer service skills, with the ability to be organized and analytical, have good time management, and can communicate effectively with strong interpersonal skills. This includes the ability to work well independently or as part of a diverse team.
  • Desirable :

  • Two year's experience in MS Office.
  • Three year's experience with PeopleSoft, or similar, payroll and time-keeping software.
  • One to two year's experience with ORACLE EBS, or similar, financial and procurement software.
  • One year experience with hosting remote meeting platforms, such as Zoom, Teams or Go to Meeting.
  • Two years familiarity and experience with King County policies and procedures, particularly human resources policies and procedures.

    Work Schedule : This position is anticipated to be full-time, assigned 40 hours per week. The work schedule is normally Monday through Friday, 8AM to 5PM, however there is some flexibility in start and end time. This position offers a hybrid schedule with regular on-site rotations and telework options. This position is non-exempt from the provisions of the Fair Labor Standards Act and is therefore overtime eligible, with prior supervisory approval.
