Financial Coordinator
The Comparative Bioscience Center provides a comprehensive program of animal care in support of the University's in vivo research. The goal of our staff is to provide investigators with the highest level of research support at the lowest cost while ensuring the welfare of the animals used in the research. The center is fully accredited by the Association for Assessment and Accreditation of Laboratory Animal Care International (AAALAC).
The Financial Coordinator assists the CBC's Financial Supervisor with billing, vendor coordination, and purchasing tasks. This role ensures accurate monthly billing and reconciliation for the vivarium program. The position handles vendor invoices, manages purchase orders and service contracts, and arranges animal and supply orders. Additionally, the Financial Coordinator helps maintain the vivarium's operations database.
Responsibilities include, but are not limited to the following :
Billing Coordination :
Ensures accurate monthly billing for the entire vivarium program.
Performs monthly billing reconciliation using Excel.
Inputs all special services charges into the Tick@Lab database.
Coordinates with the CBC team and labs to ensure accurate billing data
Vendor / Purchasing Coordination :
Coordinate with vendors to ensure all invoices are paid
Open vendor service contracts, purchase orders, and standing purchase orders
Manage standing purchase order increases
Coordinate with the Financial Supervisor for any vendor or purchasing issues
Collaborate with labs and animal vendors for all animal orders
Order supplies for the veterinary services team
Review commitments for incoming, canceled, or backordered items
Tick@lab Database Administration :
Assists Financial Supervisor with Tick@Lab administration
Performs end-of-year database turnover
Configures billing project codes and service @types
Position Qualifications :
High School Diploma or equivalent required, Bachelor's degree preferred
Demonstrated experience in academic financial coordination or billing support functions
Proficiency in Microsoft Excel, Adobe Acrobat, including data reconciliation, financial tracking, and basic math calculations
Experience using database systems and electronic billing or financial management software
Demonstrate attention to detail and accuracy in financial recordkeeping
Effective communication and interpersonal skills for coordinating with vendors, research staff, and internal departments
Ability to interpret and apply financial policies and procedures
Familiarity with vivarium facility operations or vivarium billing structures
Preferred Qualifications :
Experience with Tick@Lab database or similar platforms
Experience with RUFirst, GIS, and iProcurement
Knowledge of procurement and vendor management processes, including purchase orders, contracts, and invoice reconciliation
Experience working in a higher education, research, or laboratory environment

The salary of the finalist selected for this role will be set based on various factors, including but not limited to organizational budgets, qualifications, experience, education, licenses, specialty, and training. The hiring range provided represents The Rockefeller University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Compensation Range : Min USD $62,000.00 / Yr.
Compensation Range : Max USD $64,000.00 / Yr.
