Job Overview
The receptionist serves as the first point of contact for Oaks Church and Oaks Learning Department guests. The Receptionist will host staff and guests well by maintaining a clean and well-stocked facility as well as making sure everyone feels welcomed, valued, and loved by Jesus as they are greeted on-site or on the phone. As the Receptionist to Oaks Learning Center (OLC), you will manage the visitor log, maintain confidential student files, and provide assistance to the OLC Director. This position will report to the OLC Director and Operation Administrator
Responsibilities + Duties :
Oaks Church :
- Open the front office at the time scheduled.
- Ensure that the receptionist area is kept in a neat and orderly condition at all times.
- Answer all telephone calls in a professional, friendly, and timely manner; screen calls and transfer the caller to the correct individual without leaving a caller on hold or unattended for more than 40 seconds.
- Check voicemail messages and forward them to the correct individual.
- Greet guests in a professional and friendly manner, determining the reason for their visit and providing general church information.
- Manage and provide ongoing training for the Raptor security system and print a security badge for each visitor.
- Receive and distribute incoming mail and deliveries as well as post outgoing mail.
- Manage the Lost and Found inventory for Oaks Church
- Keep communication with Oaks Learning Department leadership when desk will be unattended
- Responsible for requesting time off 2 weeks in advance
- If leaving early, it is the responsibility of the Receptionist to find coverage for the front desk and receive approval by direct report.
Oaks Learning Center
Schedule tours for OLC in outlook.Have knowledge of the OLC program to answer questions from parents / individuals of interest.Manage the OLC Visitor logbook.Maintain confidential OLC student files.Make phone calls on behalf of the OLC program.Be the first point of contact for OLC phone inquiries.Work closely with OLC management about any parent questions, concerns, or growth of OLC.Qualifications (Preferred)
High School Diploma or EquivalentProficiency in Microsoft Office SuiteProfessional attitude and appearanceSolid written and verbal communication skillsAbility to be resourceful and proactive when issues arise.Excellent organizational skillsPersonable with a customer service attitude.Bilingual in English and Spanish.Able to lift 45 pounds.Previous experience as a receptionist, administrative assistant, or customer service role (nonprofit or childcare setting a plus).General Expectations

Maintain front desk area in a clean, organized, and welcoming manner.Manage incoming / outgoing mail, deliveries, and general office correspondence.Assist with data entry, filing, copying, and other clerical tasks as needed.Support OLC and Church staff with scheduling, communications, and special projects.Update and maintain accurate records, including attendance and family contact information for the childcare program.Front Desk & Guest Services
Greet all visitors, families, and staff with professionalism and hospitality.Answer incoming phone calls, direct inquiries, and provide accurate information.Manage visitor check-in / check-out procedures for church events and childcare, ensuring safety and security protocols are followed.Assist families with childcare sign-in / out questions and provide support with forms or documentation.Organize and distribute packages and mail throughout the day.Communication & Coordination
Serve as a liaison between families, childcare staff, and church staff.Provide clear, friendly, and timely communication to families regarding policies, procedures, or upcoming events.Coordinate with volunteers, staff, and ministry leaders to ensure smooth office and program operations.Core Competencies
