Job Description : General Description
The Early College Analyst provides administrative support to the Early College Offices and assists the Associate Director of Early College / Concurrent Enrollment Coordinator. Responsibilities include supporting concurrent instructors, students, and department staff by answering phones, preparing correspondence, making copies, and serving as a point of contact for visitors, students, and instructors via phone, email, or in person. The role also includes processing admission applications, advising applicants on the use of online application tools, and delivering excellent customer service throughout the admissions cycle. The Analyst creates, maintains, and organizes student records using an imaging system and the University’s student information system, as well as assist with data requests and other administrative tasks for the Early College offices.
Essential Duties and Responsibilities
1. Monitors the concurrent email account and answer incoming phone calls.
2. Responsible for department correspondence, oral and / or written as requested including theconcurrent admissions process; process mail in / out; communicate reminders to concurrentinstructors, counselors, and students (i.e. deadlines, reports, submission of grades,attendance); assist the department with website content management.3. Purchasing / budget / inventory : maintain departmental account for ordering supplies andmaintaining inventory; obtain approval from the Concurrent Enrollment Coordinator prior toall purchases; prepare items for submission to M&R; enter requisitions and receive materials;reconcile and maintain P-Card; assist with inventory including supporting annual procurement efforts; process requests to advancement for promotional items.
4. Supports Concurrent Enrollment Coordinator in requesting data collection.
5. Processes admission applications by entering accurate data and updating applicant files accordingly. Receives, processes, scans, and indexes a variety of student enrollment documents, including but not limited to enrollment forms, transcripts and test scores.6. Compares and analyzes all submitted documents to determine eligibility based on the college’s standards including but not limited to test scores and GPAs.
7. Correspond and communicate directly with applicants to advise them of their eligibility status,need for additional information, provide requested information, or schedule.8. Maintain physical / digital office filing system. Establishes and maintains various files andrecords.9. Composes various electronic and paper documents for concurrent instructors, counselors, andstudents.10. Make travel arrangements for school visits.
11. Supports concurrent instructors in various ways (ex. grades and attendance).
12. General office responsibilities including copying and servicing office equipment.
13. Organize, coordinate, plan, and conduct department events by securing space, equipment,food, invitations, and announcements. Assist department in coordinating events and functionsin conjunction with partnered high schools.14. Support concurrent instructors in obtaining access to CNS, Canvas, Outlook, etc. and on-boarding such as ID card and any required training.
15. Assist in the preparation, collection, and submission of instructor syllabi and maintains digital copies of course syllabi; manage classroom room schedules.
Required Qualifications :
Education Knowledge of a specialized field, such as basic accounting, computer, etc. Equivalent of four years in high school, plus night, trade extension, or correspondence school specialized training, equal to two years of college.
Experience General 12 to 18 months related experience and / or training.
Strong interpersonal, written, and verbal communication skills, attention to detail, and the ability to work independently are essential. Experience with Ellucian Banner and / or customer relationship management (CRM) systems is highly preferred.
