We are seeking a Business Office Manager (BOM) to oversee site-level business operations and administrative workflows. This full-time role follows a Monday through Friday schedule with participation in the Administrator On Call (AOC) rotation and ensures smooth billing support, HR compliance, payroll coordination, and office operations in collaboration with clinical and leadership teams..
Overview
The Business Office Manager (BOM) provides leadership and oversight for daily business operations, administrative workflows, and operational support functions at the site level. This role ensures compliance with policies, supports timely billing and reimbursement workflows, oversees human resource administrative processes, and helps maintain efficient non-clinical operations. The BOM collaborates closely with clinical and operational leadership to support site success and an excellent experience for patients, families, and staff.
Key Responsibilities
- Oversee the day-to-day non-clinical operations of the site, ensuring administrative workflows run efficiently and in accordance with company policies.
- Coordinate the timely entry and routing of billing-related data to support hospice claims processing and reimbursement workflows.
- Support onboarding and People operations tasks including background screenings, documentation, and new hire file completion in coordination with the People department.
- Ensure employee records and required onboarding documentation are maintained in accordance with state and federal regulations, and that required documentation is accurately completed and filed.
- Maintain, verify, and submit timekeeping records and assist with local payroll-related reporting or follow-up.
- Assist with Hospice Aide / CNA scheduling logistics and documentation processes, in coordination with clinical leadership.
- Prepare accounts receivable and other site-level reporting as requested by leadership.
- Support intake coordination and patient data entry when centralized intake is unavailable or experiencing high volume.
- Serve as the initial point of contact for basic IT and system access support, including EMR troubleshooting and escalate technical or system issues to the appropriate IT support teams when necessary.
- Procure and maintain office supplies, equipment, and vendor services within site budget and company guidelines.
- Coordinate incoming and outgoing mail, faxes, and communications; route items appropriately to internal departments.
- Provide logistical and administrative support for IDG and other site meetings (e.g., scheduling, materials, room setup).
- Support leadership with audits, compliance reviews, or data tracking for operational improvement.
- Participate in internal meetings, training sessions, and company communications to ensure alignment and effectiveness.
- Maintain professionalism, confidentiality, and a mission-aligned presence in all responsibilities.
- Perform other duties as assigned.
Qualifications
High school diploma or GED required. Bachelor's or Associate's degree from an accredited college with specialization in business, healthcare administration, or related field preferred.Minimum of three (3) years of administrative experience in a healthcare, hospice, or similar setting required.Supervisory experience preferred.Proficiency in Microsoft Office and comfort with navigating technology platforms and electronic records.Understanding of hospice billing and reimbursement workflows preferred.Excellent verbal, written, and interpersonal communication skills.Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.High level of discretion and professionalism in handling patient and employee information.Strong organizational skills and attention to detail.Demonstrated ability to collaborate across clinical and administrative functions.Commitment to the company mission to consistently deliver high quality, person-centered care with dignity, respect, compassion and integrity, and to enrich every life we touch.Demonstrates a strong commitment to delivering high-quality, person-centered care that reflects Arc Hospice & Palliative Care's mission, values, and standards of dignity, respect, compassion, and integrity.Compensation for this position is shown below and reflects the expected pay range for the role. $60,000—$80,000 USD
