NATURE OF WORK
Administrative support data entry and quality customer service for the Building Department. May require limited outside labor and driving.
DISTINGUISHING FEATURES
Work involves computer data entry, field staff support, telephone & in-person customer service, and possible fieldwork.
ESSENTIAL FUNCTIONS (These essential duties are only illustrative.)
Answer questions and assist customers who approach the front counter.
Answer a multi-phone line phone system and direct callers throughout the Construction & Development Department.
Process cameras and pictures through computer programs.
Enter and track service requests through various computer programs.
Assist other departments with various administrative duties, such as filing, spreadsheets, telephone support, etc.
Maintain reasonable and predictable attendance.
Provide customers with accurate information according to the International Building Codes when issuing permit applications.
Input detailed permit & contractor information into the system and schedule inspections according to system & customer information.
Operate a wide variety of office equipment including but not limited to email scan, copy machine, mail sorter, personal computer and fax.
SUPERVISION RECEIVED
Work is performed under the direction of the Sr. Administrative Assistant & supervisors. The employee must be capable of prioritizing a variety of duties and communicate effectively with the citizens and employees in the department. Work is reviewed through observation of work performance, and adherence to policies and procedures.
WORKING CONDITIONS & PHYSICAL DEMANDS
Work is performed primarily in a casual office environment, with the possibility of outside labor.

Ability to learn City services, departmental operations, and organization.
General knowledge of the streets in the City of Rockford, and the ability to locate addresses through WinGIS programming.
Ability to judge the nature and importance of a task assigned, and to provide information in a polite and efficient manner in person and on the telephone.
Ability to effectively and efficiently operate a computer and a variety of office programs. (Word, Excel, Hansen, etc.)
Ability to understand and follow departmental policies and procedures, both oral and written.
Ability to work both inside and outside.
EDUCATION, TRAINING & EXPERIENCE
Enrollment in an academic program through an accredited institution.
NECESSARY SPECIAL REQUIREMENTS
Possession of a valid IL Driver's License as needed by the position
Must be at least 17 years of age to apply, and 18 years or older at the time of hire.
