Job Duties :
Service Coordination :
Classification of all phone calls throughout the day
Running abandoned call report each day and calling back all abandoned phone calls
Listening for customer issues / questions and assigning jobs
Customer inquiries via phone, text, and email
Forwarding customer complaints or issues with new and current equipment accordingly (Scheduling or escalating to upper management)
Notifying management about escalating problematic jobs or customers
Adding emergency calls to the schedule accordingly
Updating service appointments with the correct job type and business type
Verifying correct charge / special notes for services and estimates, and new installs
Handling technician inquiries, salesman inquiries, and customer inquiries
Completing various projects assigned by management
Going through all jobs that have been placed on hold and following up with them
Applying correct customer equipment, installation dates, and equipment location to all profiles within Service Titan
Managing customer profiles and location profiles within Service Titan program
Creating new customers and scheduling them for service and or sales appointments
Contacting new homeowners that have existing Kinetico Equipment in their home and schedule them for service
SMP (Scheduled Maintenance Program) Management
Oversee Service Maintenance Program SMP ensure customers are on recurring service
Making up to 40 outbound calls a day as schedule allows to contact customers about upcoming SMP appointments and locking in service date via phone calls
Notate special instructions for particular SMP members
Sales Coordination :
Making phone calls to lead prospects, which are homeowners that are pre-generated, and call to set appointments
Provide excellent customer service in an ethical and professional manner
Manage provided leads via Bravy.ai and Service Titan on an hourly basis
Provide written estimates for existing customer upgrade phone sales where situations arise for this
Follow up with leads on a consistent basis
The primary work in the office is computer work to complete the necessary documentation for booking appointments and closing sales
This position requires a lot of phone and computer work
Contacting existing customers after installations to check on their satisfaction
Yearly commercial customer check-in calls
Provide administrative support to the sales team where needed
Cold calling where needed
Covering phones and booking service maintenance appointments when needed
