Katie Weigel with Robert Half Finance and Accounting is recruiting to fill an Office Administrator role for a private, sophisticated office in Reno, Nevada. We are seeking a versatile and highly organized Office Administrator to maintain a seamless office environment and provide critical support to their team. This is a hands-on role that requires a proactive professional who is equally comfortable managing front-desk reception, coordinating facilities, and providing general administrative assistance to all team members.
Core Responsibilities
Office Management & Reception
•Front-of-House Operations: Manage the reception area, including greeting visitors, and handling inquiries.
•Logistics & Mail: Oversee all mail management, FedEx shipments, and PO Box maintenance.
•Supplies & Inventory: Monitor and order all office supplies, snacks, first aid supplies, and kitchen essentials to ensure the team is fully equipped.
•Errands: Run essential office errands, including lunch pickups and other off-site tasks as needed.
Facilities & Safety Coordination
•Maintenance & Security: Serve as the primary point of contact for maintenance, janitorial services, IT support, security, shredding service, and coordinating with building management.
Administrative & Specialized Support
•Email Inboxes & Communication: Monitor and manage designated email inboxes and provide general documentation management.
•Document Management: Drafting memos, filing reports, and maintaining organized digital and physical records.
•Team Support: Provide general administrative assistance to all team members and remain willing to tackle varied tasks as assigned.
Events & Culture
•Event Planning: Coordinate holiday parties, morale-boosting events, and team meetings.
Required Skills
•Strong proficiency in documentation management and office software.
•A "can-do" attitude with the ability to pivot between tasks quickly.
•High-level multitasking.
•Professional verbal and written skills.
•Ability to learn new skills, be a team player but also work independently.
This person will be a part of a small, highly competent team of professionals. They are in office 5 days per week. At least 5 years of experience in administrative or office management roles.
