In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling and assist in closings, and writing correspondence. Responsibilities
Greet clients and route them to the appropriate person or place.Answer incoming phone calls and route them to the appropriate personAssist and follow-up with coordinating closingsWrite emails, memos, and letters and distribute them appropriatelyContribute to company reportsMaintain an organized filing systemDevelop, update, and maintain relevant office proceduresOpening Title filesOrder payoffs, estoppels, lien searchPost close title files.Communicate with landlords and tenantsCommunicate with realtors, attorneys, buyers, sellers, investors, and lendersCommunicate with Homeowner Associations regarding complaints and violationsAssists with other related clerical duties such as photocopying, faxing, scanning, filing and collating.Tasks may differ depending on daily business activitiesQualifications
High school diploma / GED required, Associate’s degree or administrative training is preferredPrevious experience as an Administrative Assistant or in a similar positionFamiliarity with standard office equipment such as printers and fax machinesExcellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPointHighly organized with excellent time management skills and the ability to prioritize projects
