As the first point of contact for clients and visitors, you will play a crucial role in creating a positive, organized, and professional environment. Compensation : $18 - $20 hourly
Responsibilities :
- Greet and assist all visitors and clients with a warm, professional demeanor, creating a welcoming atmosphere for everyone who enters our office.
- Answer and direct incoming phone calls promptly and efficiently, ensuring excellent phone etiquette and a positive impression for every caller.
- Handle all incoming and outgoing correspondence, including sorting and distributing mail, managing packages, and drafting professional emails.
- Schedule and coordinate appointments and meetings for agents, ensuring calendars are up-to-date and double bookings are avoided.
- Maintain office cleanliness and organization, ensuring the front exterior, reception area and common spaces are tidy and presentable at all times.
- Manage and order office supplies to maintain inventory and support office operations.
- Assist with administrative tasks such as preparing documents, reports, and presentations as needed.
- Support agents with on-site needs, including coordinating open houses and property showings, and ensuring all necessary materials are prepared and available.
- Assist with special projects and events, including preparing for open houses, client events, and team meetings.
- Maintain client and office files in a neat and orderly fashion, both physically and digitally.
