Admin Assistant I - Nursing
Supports the Department of Nursing in all administrative details including Director of Nursing (DON) and Assistant Director of Nursing (ADON).
Essential duties and responsibilities include:
To perform this job successfully, an individual must be able to accomplish each of the below duties satisfactorily:
Administrative/Faculty
- Front desk duties: answering phones, greeting guests, screening visitors.
- Support the directors in administrative details: manage meetings/commitments, conference calls etc. that fit the Director of Nursing's schedule. Prepare agendas, arrange meeting facilities and act as recording secretary; prepare minutes at assigned meetings, travel planning.
- Nursing department weekly update email.
- Monthly faculty staff meetings: coordinate schedule, prepare agenda with directors, minutes.
- Office supply ordering & assist lab supply ordering (as needed).
- Event planning: coordination, employee recognition, Christmas cards to clinical partnerships, advisory board meeting.
- Mail & package distribution.
- Filing documents.
- Reimbursements, check requests, purchase orders, expense reports and credit card reconciliation via Chrome River.
- Assist with program accreditation: data collection, reporting, and correspondence with agencies.
- Monthly university commencement meetings.
- Checkout textbooks to instructors/record return of textbooks & assist in desk copy requests to vendor.
Student/Clinical
- Add/drop forms.
- Pinning ceremony/grad prep: programs, awards (voting & creation).
- Graduation applications 3 x year.
- White coat ceremony prep: programs.
- Academic warning communication.
- DAS testing accommodations (documentation, test security, student placement) Monday through Friday.
- Taking minutes at student meetings with directors.
- Student name changes/name tag replacements.
- Supervise student employees.
- Appeals: student communication, committee set up & minutes, prep of documentation, decisions letters, filing documentation.
- Draft and mail preceptor certificates each semester.
Education and/or experience: Bachelor's degree from a four-year college or university.
Full time staff, non-exempt $23.46/hr.
