Position Summary :
The Asset Management & Retail Coordinator provides essential cross-functional support to both the Asset Management division and the VP of Retail & Brand Partnerships. This hybrid role is designed for a highly organized, detail-oriented professional who thrives in a fast-paced environment and enjoys working across property operations, retail programs, events, and corporate initiatives.
This position plays a key role in maintaining department workflow, supporting reporting processes, coordinating communication across the portfolio, and assisting with merchandise and retail-driven programs.
Responsibilities :
Asset Management Support
- Provide administrative support to the Asset Management team, including scheduling, calendar coordination, meeting preparation, agenda creation, note-taking, and distributing follow-ups.
- Organize and maintain key documents across hospitality, club, residential, and HOA portfolios-including budgets, agreements, KPIs, dashboards, and project trackers.
- Assist with compiling and formatting weekly, monthly, and quarterly performance reporting, ensuring accurate data entry and clean, consistent presentation.
- Maintain workflow tracking for active initiatives (e.g., management agreement deliverables, HOA items, capital planning milestones, operator requests) to ensure deadlines and deliverables are met.
- Update shared drive file structures and project boards (e.g., Monday, Asana) to keep the team aligned and current.
- Support administrative tasks such as invoice processing, expense reporting, vendor coordination, travel planning, and preparation of internal communication packets.
Retail & Brand Partnerships Support
Support retail events, brand activations, and corporate programming, including logistics assistance , and property-level coordination.Support group and corporate sales requests for product, including packaging, fulfillment, and communication with onsite teams.Assist with internal departmental product requests and ensure timely distribution and replenishment.Help complete end-of-month reporting for vendors and internal stakeholders, including sales summaries, inventory metrics, and retail performance recaps.Assist with maintaining and updating Retail Brand Standards for all locations / projects, ensuring consistent logo usage, merchandise applications, and brand identity across platforms.Organize brand assets and share internally and externally to support consistency in vendor communication, product development, and merchandising execution.Qualifications :
2-4 years of experience in administrative coordination, hospitality operations, retail coordination, or a related administrative role (luxury or lifestyle environment preferred).Strong organizational skills with the ability to manage multiple priorities simultaneously across two departments.Excellent written and verbal communication; able to synthesize and distribute information clearly and professionally.High attention to detail, especially in data entry, reporting, and brand standards.Proficiency with project management and collaboration tools (e. g., Microsoft Outlook, Teams, Excel, and related project management tools).Comfort working in a fast-paced, entrepreneurial environment with evolving needs and cross-functional collaboration.Highly organized and proactive, with strong follow-through.Excited by both analytical / administrative work and creative / brand-oriented tasks.Comfortable working across multiple teams and properties.Takes ownership, seeks clarity, and moves work forward without being micromanaged.Brings polish, professionalism, and a hospitality mindset to every interaction.Company Benefits :
