Position Summary
The EHS Bilingual Admin is responsible for supporting the safety orientation requests and badging processes, along with the visitor badging functions. This role is essential for our day-to-day tasks and responsibilities with the ability to have strong communication skills in both English and Spanish. This position also requires strong organizational skills and high-level multitasking. An essential part of this role is also providing exceptional customer service with a positive attitude. It is a high-volume and very demanding role with tasks that are required to be completed on a day-to-day basis.
Essential Duties and Responsibilities
- Provide day-to-day administrative support, including scheduling, filing, data entry, and general office organization in a fast-paced environment.
- Manage a high volume of in-person, phone, and email inquiries while delivering professional, customer-focused service.
- Communicate clearly, calmly, and respectfully in both English and Spanish, including when addressing questions, concerns, or escalated situations.
- Process and track requests and documentation in company systems, ensuring accuracy, timely follow-up, and clear communication of outcomes.
- Support visitor management and badging activities, including issuing, collecting, and documenting badges in tracking systems.
- Assist with onboarding and orientation support, including printing, scanning, uploading documents, and basic system updates.
- Verify information related to contractors, IDs, and eligibility, and direct individuals to appropriate resources when issues arise.
- Maintain accurate records and reports, collaborate with internal teams and external partners, and ensure adherence to company policies, safety expectations, and applicable regulations.
- Participate in required trainings and perform other duties as assigned to support operational needs
Required Qualifications
High school diploma or general education degree (GED); a 2-year degree (or higher) in a related field is desired.1-3 years of experience and / or training related to EHS; or an equivalent combination of education and experience.Proficient in MS Word, Excel, and Outlook, with experience in other Microsoft Office products required.Familiarity with EHS auditing software programs is a plus.Ability to work independently with a high degree of autonomy.Clear and effective communication skills, both written and verbal, in both English and Spanish.Manage sensitive information with confidentiality and discretion, e.g., HIPAA compliance.Ability to work in a demanding environment; multitasking skills essential.Attention to quality and detail with high accuracy.Effective time management and a result-driven approach.Initiative-taking and self-directed.Collaborative team player a must.Physical ability to lift a minimum of 25 lbs.Strong verbal and written communication skillsDemonstrated ability to work independently and as part of a teamAbility to handle confidential information with discretionBenefits :
