JOB SUMMARY
Thesis Pharmacy is looking for a detail-driven and highly knowledgeable Shipping Specialist Subject Matter Expert (SME) to elevate day-to-day shipping operations, training initiatives, and continuous process optimization. In this role, you will act as a key technical resource for the shipping team—providing expert guidance on procedures, documentation standards, and best practices that drive accuracy, safety, and operational efficiency.
Working in close partnership with the shipping team, you will help uphold consistent quality benchmarks and support workflow coordination. The Shipping SME will take a hands-on role in onboarding and training new team members, monitoring operational throughput, and proactively identifying opportunities to streamline processes. Additionally, this position serves as an operational extension of leadership, stepping in to support supervisory tasks as business needs evolve.
SUPERVISORY RESPONSIBILITIES:
DUTIES/RESPONSIBILITIES:
- Serve as the central point of contact for shipping team inquiries related to procedures, packaging protocols, and workflow expectations.
- Deliver real-time coaching and actionable feedback to ensure all orders are packed, labeled, and shipped with precision and accuracy.
- Support daily workflow oversight, helping to balance workloads and maintain steady operational throughput.
- Confirm that deliveries, lab pick-ups, and courier schedules are executed as planned, escalating issues promptly to minimize disruption.
- Ensure all supplemental duties—such as team chat responses, queue oversight, and supply replenishment—are completed consistently and on schedule.
- Contribute to training and onboarding efforts, reinforcing established procedures, quality standards, and safety requirements.
- Assist in maintaining and updating reference guides, checklists, and process documentation to reflect current best practices.
- Monitor order accuracy, packaging quality, and compliance with internal policies and HIPAA regulations.
- Identify and communicate recurring issues, error trends, and supply-related concerns to the appropriate stakeholders for timely resolution.
- Provide operational coverage during staff absences or peak-volume periods to maintain workflow continuity.
- Foster a positive, collaborative team culture anchored in continuous improvement, operational excellence, and patient-centered service.
REQUIRED SKILLS/ABILITIES:
- Strong understanding of shipping workflows, packaging standards, and end-to-end order processing procedures.
- Proven accuracy and attention to detail when handling high-volume fulfillment tasks.
- Excellent communication and collaboration skills, with the ability to support a cohesive, team-centric environment.
- Demonstrated capability to mentor peers, provide real-time guidance, and reinforce established processes.
- Solid organizational and time-management skills, with the ability to prioritize tasks and maintain throughput during shifting operational demands.
- Dependable, adaptable, and proactive in identifying potential issues and implementing timely solutions.
- Commitment to upholding HIPAA regulations, quality standards, and company compliance expectations.
EDUCATION AND EXPERIENCE:
- Experience in pharmacy, healthcare, shipping, logistics, or fulfillment operations preferred.
- Prior exposure to order processing, workflow coordination, or quality assurance activities is highly beneficial.
- Training or experience in operational best practices, safety standards, or process documentation is considered an advantage.
PHYSICAL REQUIREMENTS:
- Ability to stand, walk, bend, reach, and lift items as required in a shipping and fulfillment environment.
- Capacity to manage repetitive tasks, such as scanning, packing, and labeling, with consistent accuracy.
- Ability to work on-site and maintain productivity in a fast-paced, deadline-driven operational setting.
OTHER DUTIES:
- Support cross-functional tasks and assist leadership with operational needs as priorities evolve.
- Contribute to continuous improvement initiatives by identifying workflow enhancements and efficiency opportunities.
- Participate in team communication channels, ensure supply areas are maintained, and assist with general operational upkeep.
- Provide coverage during team absences or high-volume periods to sustain workflow continuity.
- Undertake additional responsibilities as assigned to support overall departmental performance and patient impact.
