Job description
Provide support and coordination on projects, with the ability to quickly re-prioritize to meet deadlinesCoordinate and schedule meetings based on executive / group availability as neededSupport Director of Technology on daily basis,Ensure event logistics are planned appropriately and in advance of the eventDistribute and track documents, ensure proper routing / approvals and deliver or file when finalizedAudit and process expense reports and route for approvalWorks with Finance and Operations to create procurement and purchasing processesEnsures appropriate approvals are obtained based on purchase costs and amountsWorks with management to create annual budgetsManages costs to budget and notifies management in the case of unplanned or over budget expendituresDemonstrates a strong understanding of accounts payable processesInterfaces with vendors regarding procurement and invoicing processWorks with vendors to resolve discrepanciesDemonstrates an understanding of capital vs. expense accounting practicesAnalyzes accounts and reports variances monthlyProcesses expense reports for payment by FinanceEnsures vendor contracts are in place for equipment purchases, hardware, software, subscriptions, and service contractsFollows up with vendors to ensure service levels are metReconciles complex invoicing issues to avoid unnecessary costsProvides administrative support to support management as necessaryAbility to work with a very diverse user community, i.e., “people skills”Ability to lift / move up to 20 poundsSome travel to other sites requiredSpecific Qualifications / Abilities : The requirements listed below are representative of the knowledge, skill, and / or ability required.
Bachelor’s Degree or equivalent2+ years of experience in administrative support and relevant work experience in accounting or IT experience is preferredStrong understanding of technology termsExperience working with Microsoft enterprise agreements and similar technology subscription agreementsSelf-motivated and eager to learnDemonstrated troubleshooting abilityAble to work through various steps to resolve issues logicallyExcellent communications skills, written and oralAble to establish a good rapport with management, staff, and vendorsStrong collaboration and interpersonal skillsOutstanding time management and organizational skillsAbility to prioritize and adapt to meet changing needsExcellent follow-through skillsAble to complete projects promptlyAble to work outside of traditional hours to support events and special projectsEqual Opportunity Employer / Disabled / Protected Veterans
