Description

Overview

We are seeking a detail-oriented and organized Administrative Assistant to support our

team with various administrative tasks. The ideal candidate will excel in managing office

processes, handling financial documentation, and providing backup support to ensure

smooth operations.

Responsibilities

  • Enter and review bills in QuickBooks Online to ensure accurate financial records.
  • Create and manage invoices for clients and vendors.
  • Prepare and submit expense reports in a timely manner.
  • Assist in the preparation of regularly scheduled reports to support business

operations.

  • Manage processes related to company vehicles, phones, expenses, purchase

    • orders (POs), and invoicing.

  • Review and audit vendor statements for accuracy and compliance.
  • Provide backup support to the receptionist as needed.
  • Assist in the management of vehicle fuel cards.
  • Perform various administrative duties to support the team's operational needs.

    • Work Environment

  • Full-time position, typically Monday through Friday, with occasional flexibility

    • required.

  • Office setting with occasional light lifting and local travel for errands.

    • Requirements

  • Strong knowledge of office management systems and procedures.
  • Excellent time management skills with the ability to multitask and prioritize

    • effectively.

  • Keen attention to detail and strong problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills to manage workflows efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Valid driver's license with an excellent driving record.
  • Ability to lift up to 30 lbs as needed for office tasks.

    • Qualifications

  • Previous experience as an administrative assistant or in a similar role is a plus.
  • Familiarity with QuickBooks Online or similar accounting software is highly desirable.
