The On-Site Services Specialist supports daily operations including high-volume printing, document imaging, mailroom services, supply room upkeep, conference room support, and general office assistance. The role is physical and customer-facing, requiring frequent walking, standing, and lifting.

Responsibilities

• Operate high-volume copiers, duplicating equipment, document imaging systems, and related software; perform binding, finishing, laminating, and basic QC tasks.

• Manage incoming and outgoing mail and packages, including FedEx, USPS, Amazon, and internal deliveries; deliver to SMART lockers; calculate charges and log services.

• Perform supply room checks and replenishment; maintain clean and organized conference and scrum rooms; assist with meeting setups.

• Use MS Office, Outlook, Teams, and document management protocols for opening, saving, and transferring files.

• Maintain copier areas, clear paper jams, report issues, and track supply usage, meters, and service logs.

• Distribute office supplies, mail, and completed print jobs; perform filing, archiving, and occasional light maintenance or cleaning.

• Provide backup reception support and respond to customer service requests.

• Safely lift and move items up to 50–55 lbs using carts and dollies; may travel between buildings.

Requirements

• High school diploma or GED.

• 1–2 years of related experience; copy/print experience preferred.

• At least five years of mailroom, shipping, conference room support, and customer-facing experience preferred for this assignment.

• Strong customer service, communication, organizational, and PC skills.

• Proficiency with Outlook and Microsoft Teams.

• Ability to stand, walk, lift, and perform physical tasks throughout the workday.

• Valid driver’s license may be required.
