Overview
A focused, energetic, and personable Mid-Level Administrative Support Specialist with strong leadership potential and a desire to grow within the firm. We are seeking a personal and corporate tax professional with the ability to assist both individuals and businesses in managing their tax obligations and maximizing financial efficiency. The ideal candidate must be protective of the business, proactive, a polished professional with a can-do attitude and fluency in both English and Spanish is preferred. Prior administrative support experience in an accounting firm setting is strongly preferred. The selected candidate must genuinely enjoy their work, take pride in high-quality performance, and consistently take initiative without waiting to be told.
This role requires professional-level administrative expertise, including intermediate proficiency in Microsoft Outlook, Excel, and Word; strong scheduling and calendar management abilities; and the capacity to support multiple leaders simultaneously. Exceptional written communication skills are essential-particularly the ability to craft concise, well-structured, confidential professional emails. The individual must demonstrate sound judgment, discretion, and a communication style that blends professionalism with southern charm, maintaining the perfect balance of personable and polished.
Key responsibilities include prioritizing and managing large volumes of email with proper follow-through, proactively identifying needs or issues before they arise, and coordinating directly with Partners and staff to ensure nothing is overlooked. Strong attention to detail, accuracy, and high-level time management skills are critical, especially when navigating shifting priorities and frequent interruptions.
Experience with property management tasks and related software is required. Additional responsibilities include maintaining records across software platforms, managing meeting room and office reservations, answering and routing calls professionally, and ensuring smooth daily office operations. Tasks may include document management (scanning, digital filing), data entry, office supply oversight, and handling all incoming / outgoing mail (USPS, UPS, FedEx, etc.). Other responsibilities may be assigned as needed.
