Colorful Minds ABA is growing, and we are seeking a highly organized, mission-drivenClinic Operations Managerto oversee daily operations of our pediatric ABA clinic serving children ages 28 with autism and developmental disabilities. This role partners closely with the Clinical Director and CEO to ensure smooth clinic operations, exceptional family experience, and strong staff support.
This is anin-person leadership roleideal for someone with strong operations, scheduling, and team-management experience in education, healthcare, ABA therapy, or early childhood settings.

Daily Operations
Oversee day-to-day clinic operations to ensure smooth programming and exceptional client experienceMaintain facility readiness, safety standards, supplies, and equipmentManage operational problem-solving, coverage needs, and schedule adjustmentsStaff Leadership
Supervise RBTs, supervisors, and administrative staffLead onboarding, training, coaching, and performance check-insBuild a positive, team-focused culture that supports retentionLead team meetings and day-to-day communicationScheduling & Coordination
Create and manage master staff and client schedulesAssign therapists strategically based on client needs and supervisor inputManage cancellations, absences, and coverage planningTrack session hours, attendance, and authorizationsSystems, Policies & Process Development
Develop operational SOPs and workflowsImprove scheduling, communication, documentation, and program systemsSupport growth and scalability initiatives with CEO & Clinical DirectorCompliance & Quality Assurance
Ensure adherence to HIPAA and operational compliance requirementsConduct documentation audits for completeness and timelinessCoordinate with billing and authorization teamsMonitor operational KPIs and identify areas for improvementFamily Experience & Client Services
Serve as families primary point of contact for operational needsSupport onboarding, tours, and scheduling updatesHandle concerns professionally, ensuring positive family experienceStrategic Leadership
Provide operational reporting and insights to CEOSupport capacity management, staffing planning, and program expansionTrack metrics such as session completion, staff utilization, and attendance trendsEducation
Masters degree in Special Education, Education, Healthcare Administration, or related field requiredBackground in autism or developmental disabilities strongly preferredExperience
5+ yearsin operations, coordination, or program management (school, ABA, daycare, therapy center, or healthcare preferred)Experience supervising teams of 1020+Scheduling, compliance monitoring, and systems development experienceExperience working with children with autism requiredSkills
