A minimum of one year of experience in a receptionist role or similar position involving frequent public interaction. Strong oral and interpersonal communication skills. Flexibility to adapt to changing priorities. Proficiency in greeting visitors and answering phones courteously to deliver prompt and accurate assistance. Capability to interact effectively with staff and the public, providing courteous responses in a fast-paced environment. Ability to follow both oral and written instructions diligently.
Responsibilities
- Accurately and promptly route telephone calls to the appropriate agency personnel.
- Greet customers, vendors, contractors, job applicants, and other visitors, ensuring their presence is monitored in the lobby to uphold visitor satisfaction and maintain security protocols.
- Maintain an updated understanding of agency operations, procedures, and schedules to effectively assist callers and visitors.
- Keep precise records of telephone communications and visitor interactions.
- Oversee security measures by issuing visitor badges.
- Perform routine clerical tasks, including mail delivery, errands, and keyboarding, as assigned to support departmental efficiency.
- Ensure the reception area is safe and orderly.
- Contribute to collaborative team efforts and initiatives.
- Undertake additional related duties as assigned.
