DESCRIPTION

Reporting to the CPEO Events and Operations Manager and receiving some work direction from the Associate Director of the Campus Performances & Events Office, the CPEO Events Coordinator provides comprehensive coordination and management of events. This role will be responsible for supporting a team of events and operational staff, primarily focused on events produced by the Campus Performances and Events Office as well as venues managed by the Campus Performances and Events Office. Those venues include the Epstein Family Amphitheater (2,300 Capacity) and the Loft (225 Capacity).

With a capacity of 2,300, the Epstein Family Amphitheater is designed to provide diverse programming and to create engagement opportunities for UC San Diego students and the San Diego community at large. The open-air amphitheater will showcase performing arts, featuring local and international talent, as well as student, campus and community events. When not actively programmed, the space will serve as an informal gathering place and open park.

The CPEO Events Coordinator provides support for events on the UC San Diego campus.

CPEO Events Coordinator will support student organizations, campus departments, and clients in producing events in CPEO. Responsibilities include identifying and coordinating event logistics ranging from security, parking, box office, event portering services, usher calls, set up, and tear down of events.

Responsible for co-leading and providing work direction for a student event services team.

The CPEO Events Coordinator will also be supporting other areas of the Campus Performance and Events Office, including events and traditions across campus. This position may serve in a variety of event management capacities throughout the course of the year and will apply industry best practices to support a range of events.

QUALIFICATIONS

Working knowledge of concepts, principles and practices of event planning and production and public relations. Experience in event design, organization, and production. Experience in producing live events is essential.

Knowledge of crowd management, crowd safety protocols, security, and emergency procedures related to small, medium and large-scale gatherings.

Ability to negotiate terms and conditions of contracts and proposals that are in the best interest of the institution.

Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling.

Excellent customer service skills and interpersonal and written communication skills preferably working with performing arts professionals with high expectations for the production quality of their events. Ability to interact and communicate in a sensitive and respectful way with diverse groups including, but not limited to students, staff, faculty, general public, production personnel, technical operators, and performing artists. Includes the ability to work both independently with minimal direction and to work collaboratively with many types of people in a fast-paced environment.

Skills to interpret, analyze, evaluate, negotiate and implement artist contracts and client venue requests.

Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics.

Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support.

Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher-level staff and / or management.

Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.

Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists.

Strong ability to utilize computers and standard software including Microsoft Office Suite, email, and Google Suite.

Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.

Skill in effectively meeting budget and time constraints. Ability to operate within an assigned budget limitation. Ability to forecast expenses, and to monitor on-going operational costs.

SPECIAL CONDITIONS

Must be able to work a flexible schedule to meet event needs. Require regular work during late nights and weekends.

The job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range : $60,300 - $103,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent : $28.88 - $49.76

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
