Development and Alumni Relations (DAR) supports Johns Hopkins' focus on research, teaching and patient care, and its role as a national and global leader in higher education. We create and foster enduring relationships that result in advocacy and philanthropic support for Johns Hopkins University & Medicine”strengthening the institution through partnerships with donors, alumni, volunteer leaders, faculty, students, staff, and patients.

Johns Hopkins University supports a flexible work model which includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of 3 days per week. The manager will confirm the team's core onsite days where the majority / all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.

The Office of External Affairs encompasses three teams : 1) Communications and Marketing; 2) Development and Constituent Relations and 3) Finance and Administration.

The Finance and Administration team provides business operations support and includes administrative, finance, human resources, project management and special events professionals who work collaboratively with colleagues in Communications and Marketing and Development and Alumni Relations.

This position provides development-related support to the Alumni Relations and Special Events teams in the Office of External Affairs. This support includes preparing for events that are held at the School as well as at a variety of locations domestically and internationally.

Key responsibilities :

  • Coordinate advanced logistics for in-person, hybrid, and virtual events, symposiums, lectures, and meetings (which include working luncheons and / or dinners). Including :
  • Designing, preparing and distributing invitations and registration forms
  • Receiving, tracking, recording and sharing RSVPs with appropriate team members
  • Submitting RFP's to service providers, evaluating proposals and negotiating contracts (as needed); Timely processing of event invoices (catering, rentals, florals, photography, transportation, etc.,)
  • Researching venues and space availability, reserving rooms, coordinating security, housekeeping, parking and transportation (as needed)
  • Identifying and arranging audio / visual equipment needs; arranging connection details for virtual attendees (Zoom details, break-out sessions, etc.)
  • Preparing meeting materials (nametags, final agendas, and other print collateral)
  • Create guest lists and confidential briefings (as needed), gathering data from the donor / alumni database and other resources.
  • Manage onsite event logistics (some of which may happen on evenings and weekends). Including :
  • Preparation of space, transport and set up of materials
  • Acting as point of contact for service providers, multi-media contacts, and internal BSPH staff
  • Managing event check-in by printing nametags, uploading guest lists to registration system, and overseeing staff volunteers.
  • Provide post-event and general support. Including :
  • Ensuring prompt receipt and payment of all invoices
  • Compiling attendance reports with Constituent ID's as possible
  • Liaise with budget managers to ensure events expenses align with budget allocations.
  • Manage inventory of donor giveaways and assist with placing replenishment orders through as needed.
  • Function as part of operations team as needed for larger group projects and assignments.
  • Prepare and send correspondence and packages via messenger service and FedEx if needed for events.
  • Other duties as assigned.

Office of External Affairs, Development & School-wide Programming (60%) :

  • Support marquee internal and external School events including Campaign and Sesquicentennial initiatives
  • Provide advanced event coordination and day-of assistance for the school's Health Advisory Board meetings.
  • Assist with planning high-level donor engagement and stewardship events such as dinners and professorships.
  • Along with Assistant Director of Special Events, represent the school as community impact leader for the School's annual United Way campaign. Lead coordination of key fundraising events. Act as the point-of-contact for the school's ambassador team (identified by the department administrators). Coordinate ambassador communications and participation, schedule event shifts, collect department special event funds. Interface with the United Way staff to coordinate special events funds pick up. Create event flyers, attend Special Events Team (SET) meetings, manage petty cash, campaign donations and coordinate prize distribution, and notify Sr. Administrative Manager of prize values that exceed the University's limit.
  • Coordinate logistics and provide on-site support for School's Convocation ceremony, including catering, linens, volunteer coordination (training, uniform and nametag distribution), transportation of materials from School to ceremony, Assist with VIP and faculty check-in & line-up
  • Lead coordination efforts for Office of External Affairs Team programming (including Holiday party, quarterly all-staff meetings, annual retreats)
  • Lead or consult with School-wide collaborators on additional events
  • Alumni Relations & Annual Giving Team (40%) :

  • Coordinate logistics for regional alumni and constituent engagement programming throughout the country and internationally. (Approx. 40 / year)
  • Collaborate with BSPH Department and Program staff to support alumni engagement programming (including registration forms, event logistics consultation, tracking and sharing registration lists)
  • Support ongoing event logistics for Sommer Scholar leadership programming (lunches, special events, field trips)
  • Work collaboratively with the Associate Director for Alumni Relations to support activities for the Delta Omega Honorary Society includes the annual induction ceremony, poster competition and board meetings.
  • Work with the Associate Director for Annual Giving and Alumni Communications for on-site events associated with the OneHopkins Day of Giving
  • Minimum Qualifications

  • High School Diploma or graduation equivalent
  • Three years related administrative experience
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula
  • Preferred Qualifications

  • Prior events experience is strongly preferred
  • Excellent computer software skills including Microsoft Office and database management are a must, as well as knowledge of project management and electronic mailing software
  • Graphic design experience is also preferred
  • Excellent verbal and written communications skills, organizational skills, attention to detail as well as the ability to set priorities, work in an extremely fast-paced environment and meet deadlines are required
  • Candidate should have an excellent telephone and professional manner and a team player
  • Occasional evening and weekend hours to assist with events are required
  • Job responsibilities require significant collaboration and coordination with others

    The referenced base salary range represents the low and high end of Johns Hopkins University's salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education / training and other qualifications.     Education and Experience Equivalency

    Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines : JHU Equivalency Formula : 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education / experience required for the respective job.
