Our client, an established and fast-moving real estate organization, is searching for an agile and resourceful Administrative Assistant to provide direct support to a senior finance leader. Responsibilities
- Manage calendar activities for the senior finance executive, including coordinating meetings, preparing agendas, and ensuring strong day-to-day time management
- Arrange domestic travel logistics and prepare organized, accurate expense submissions
- Handle confidential materials and support executive-level communication with professionalism
- Maintain office supply inventory, monitor stock levels, and coordinate orders to keep the workspace running smoothly
- Partner with team members to provide administrative support for projects, presentations, and operational initiatives
- Assist with coordinating onsite meetings or team gatherings—including scheduling, materials preparation, and vendor interactions
- Oversee courier deliveries and ensure packages or documents are handled efficiently and discreetly
- Support general office operations by helping streamline workflows, improve organization, and elevate overall team efficiency
Qualifications (unchanged unless you'd like me to elevate these too)
- Familiarity with Microsoft Office applications, standard office equipment, email platforms, and online mailing systems
- At least one year of experience working in an administrative or office support capacity
- Strong communication style paired with a polished, professional demeanor
- Ability to work collaboratively with a positive, team-oriented attitude
- High school diploma or equivalent education required
- Capacity to lift and move up to 40 pounds as necessary
