POSITION SUMMARY :
This position is responsible for the coordination of all inpatient / outpatient Hospital and Ambulatory Surgical Center procedures. This position maybe required to travel to all office locations to meet business needs, as requested.
ESSENTIAL JOB DUTIES :
- Coordinates all inpatient and outpatient hospital / ASC procedures for both invasive and non-invasive Cardiologists.
- Have proper decision-making skills to be able to efficiently schedule hospital procedures to accommodate physicians, patient, and hospital in a timely manner.
- Provide patients with accurate and legible instructions.
- Responsible for taking all provider calls on the Doctor line and acting upon requests / orders.
- Responsible for any follow-up of orders, notes, etc. for any procedures scheduled upon request from any outside facilities.
- Responsible for routing a procedure phone note to the physician / or having scheduling arrange an office visit with the provider for any ERI patients in the office.
- Responsible for working with the back-office manager to ensure communication with physicians and procedures team regarding any concerns.
- Schedule in-patient procedures with the best possible physician and hospital location.
- Create Document for Auth Team to obtain authorization from insurance companies for scheduled hospital procedures.
- Place procedure on Physician Schedule in athenaPractice and document appropriately in patient's chart.
- Send the appointment to Physician through outlook calendar and copy appropriate device reps
- Responds to all documents in the Procedure Scheduling bucket and addresses flags daily.
- Retrieve daily VM's and return the calls and / or create a note to follow up accordingly.
- Responsible for checking the Faxcom folder for Procedure Scheduling and addressing all documents received and answer all emails.
- Faxes all relevant records to outside facilities when scheduling patient's procedure.
- Notify Advanced Practice Provider of outpatient treadmills at hospitals for the week prior by sending outlook invite to responsible Advanced Practice Providers.
- Responsible for keeping the Pacemaker Tracking / Allocation spreadsheet up to date at all times.
- Other duties as assigned per the need of the organization and within scope of licensure.
