Job Title : Administrative Assistant

Location : [Insert Location]

Pay Rate : $23 / hr, depending on experience

Schedule : Monday–Friday, 8am–5pm

Employment Type : Temp-to-hire

Job Description

Kelly is seeking a detail-oriented and dependable Administrative Assistant to support a dynamic team in a fast-paced office environment. The successful candidate will coordinate documents, gather and input data, and perform a wide range of administrative tasks for a department or organizational group. Activities will be performed under a moderate degree of supervision.

Key Responsibilities

Provide administrative support by conducting research, preparing statistical reports, and addressing routine information requests.

Gather, compile, verify, and accurately enter information into reports, presentations, forms, databases, or spreadsheets.

Assist with data collection, data entry, and generating reports on departmental activities.

Prepare correspondence, receive visitors, arrange conference calls, and schedule meetings.

Respond to or redirect routine inquiries from external or internal sources about the organization, department, or processes.

Prepare documentation for payment to vendors, suppliers, or third parties; enter payment requests into the accounting system and address account / payee inquiries.

Maintain departmental policies and procedures documentation.

Participate as a team member on departmental improvement projects as needed.

Perform other routine administrative activities as assigned according to established procedures.

Additional Duties

Answer incoming calls and direct inquiries appropriately.

Process payments, issue purchase orders, and maintain associated documentation.

Manage billing to ensure timely processing.

Organize and file physical and digital paperwork.

Perform general office tasks as assigned.

Qualifications

Minimum 1 year of administrative experience.

Strong communication and organizational skills.

Proficient in Microsoft Office (Word, Excel, Outlook).

Ability to multitask while maintaining close attention to detail.

Professional demeanor and willingness to learn.
