SUMMARY : Management Business Solutions is seeking a Contract Administrator for its client in Grand Rapids, MI. This person will be responsible for coordinating and overseeing contracts between the department and outside contractors, vendors, and partner agencies.

RESPONSIBILITIES :

  • Prepare, review, and manage bid requests, contracts, and related documentation in alignment with city policies and applicable laws.
  • Oversee the bidding and proposal process, including advertisement, evaluation, and contractor selection.
  • Process and track contracts through the city’s approval systems, ensuring timely completion and proper documentation.
  • Serve as a point of contact for contractors and consultants, providing guidance on contract terms, performance expectations, and compliance standards.
  • Monitor contract performance and assist in resolving issues, discrepancies, or non-compliance matters.
  • Compile, organize, and submit reports and supporting materials required by local, state, or federal funding sources.
  • Maintain detailed contract records and ensure document accuracy for audits and internal reviews.
  • Stay informed of changing laws, policies, and best practices related to procurement, bidding, and contract management.

QUALIFICATIONS :

  • Bachelor’s degree in business administration, Public Administration, or a related field or education and experience combinations may be considered.
  • 3+ years of administrative experience in an engineering, construction, or government setting.
  • 1+ year of experience in contract administration, procurement, or related work.
  • Strong understanding of contract development, bidding procedures, and compliance standards.
  • Knowledge of municipal procurement practices and federal / state contracting regulations.
  • Proficient in Microsoft Office and other administrative software tools.
  • Excellent communication, organization, and problem-solving skills.
  • Valid driver’s license required.
