Document Controller
We are looking for a highly organized Document Controller to join our team on a contract-to-permanent basis in Columbia, South Carolina. In this role, you will manage and maintain mortgage-related documents to ensure compliance with industry standards and regulatory requirements. Responsibilities :
- Review and validate mortgage loan documents to ensure accuracy and compliance with company policies and regulatory standards.
- Conduct detailed audits of mortgage files to verify completeness and adherence to applicable regulations.
- Prepare and assemble document packages to support underwriting, loan processing, and approval workflows.
- Monitor compliance with current mortgage regulations and address discrepancies in documentation.
- Collaborate with internal teams, including loan officers and underwriters, to resolve issues related to missing or incorrect documents.
- Manage and upload files into the company's electronic document management system for efficient tracking and retrieval.
- Maintain organized storage of physical and digital records to support audit readiness and operational needs.
- Ensure all documents are scanned, compiled, and categorized accurately for streamlined processing.
- Provide administrative support to enhance team productivity and uphold standards of quality control.
The Mortgage Administrator plays a vital role in supporting the daily operations of the mortgage department by ensuring accurate processing, maintenance, and servicing of mortgage loan documentation. This professional works closely with loan officers, underwriters, and borrowers to facilitate smooth workflow and compliance with company policies and regulatory guidelines.
Key Responsibilities :
Process and review mortgage applications, verifying accuracy and completeness of submitted documents.Maintain and update loan files and ensure all required documentation is collected and properly recorded.Liaise with internal teams, third-party vendors, and borrowers regarding outstanding documentation, status updates, and next steps.Prepare and distribute correspondence related to loan processing, such as disclosures, approval or denial notifications, and closing documents.Perform data entry and regularly update the mortgage loan servicing system.Ensure compliance with all internal procedures as well as federal, state, and local regulations.Assist with escrow, insurance, and tax administration as needed.Handle borrower inquiries related to account status, payments, escrow, and documentation.Support post-closing activities, including file audits and document retention.Provide general administrative support to the mortgage team as needed.Requirements :
High school diploma or equivalent; associate degree or additional certifications in finance, real estate, or a related field preferred.Previous experience in mortgage administration, banking, or loan processing is strongly preferred.Strong attention to detail and organizational skills.Excellent verbal and written communication abilities.Proficient in Microsoft Office and mortgage processing / servicing software.Ability to handle confidential information with discretion.Strong customer service orientation and problem-solving skills.
