New Business & Proposal Coordinator

About the Role

We're looking for a New Business & Proposal Coordinator to be the engine behind our digital marketing agency's growth. This role blends project management, persuasive storytelling, and research to help the agency win the right opportunities. You'll help lead the charge on finding new leads and RFPs, proposal creation, pitch coordination, and awards submissions, ensuring every response is organized, on-brand, and compelling. By keeping our pipeline sharp, our sales assets fresh, and our team aligned, you'll play a key role in shaping how PBJ shows up to the market and securing the partnerships that drive our future.

Responsabilities

Pipeline & Intake

  • Identify and qualify new RFP and pitch opportunities using "Go / No-Go" scorecards.
  • Build timelines for responses and coordinate kickoff meetings with internal and external stakeholders.

Proposal Execution

  • Manage calendars, task assignments, and deadlines across SMEs, creative, design, and leadership.
  • Draft and edit proposal content, tailoring case studies, refining metrics, and ensuring compliance.
  • Develop on-brand pitch decks and capability materials, coordinating light design or working with design partners.
  • Content & Assets

  • Maintain a living library of bios, case studies, one-pagers, rate cards, FAQs, and DEI statements.
  • Audit CRM records to ensure accurate and complete data for business development.
  • Manage award submissions and credentials that strengthen the agency's reputation and visibility.
  • Research & Continuous Improvement

  • Research prospects, competitors, and evaluators to shape win strategies and differentiators.
  • Lead debriefs and post-mortems, capture lessons learned, and update templates, playbooks, and sample responses.
  • Success Metrics & KPIs

  • 100% on-time submissions, ensuring the agency never misses an opportunity.
  • Rigorous quality assurance process that guarantees every RFP submission is compliant, polished, and showcases high standards of excellence.
  • Quarter-over-quarter win rate improvement, with your work directly driving agency growth.
  • Improved lifecycle time from Lead to Deal to Submission RFP, enhancing efficiency to help achieve aggressive future goals.
  • Requirements

  • Bachelor's degree in Marketing, Business, Communications, or a related field.
  • 3+ years of experience in proposal management, business development, or digital marketing project coordination.
  • Strong organizational and project management skills, with the ability to manage multiple deadlines and stakeholders simultaneously.
  • Excellent written and verbal communication skills, including the ability to draft and edit compelling content tailored to different audiences.
  • Proficiency in tools such as Asana, Google Workspace, HubSpot CRM, SupplierOne (or other RFP platforms), Google Slides, and Canva.
  • Strong attention to detail and commitment to high-quality deliverables, ensuring compliance and brand consistency.
  • Ability to research and analyze competitors, clients, and evaluators to inform winning strategies.
  • Experience maintaining content libraries, templates, and assets for business development purposes.
  • Proactive mindset with a focus on continuous improvement and efficiency in the proposal and intake process.
  • Ability to work collaboratively with cross-functional teams, including creative, design, and leadership.
