Advertised Job Summary:Organizes and conducts complex administrative duties for the Associate General Counsel. Prepare correspondence, schedule appointments, coordinate travel arrangements and answer phone lines; has the ability to multi-task. Assist with preparation of documents in response to requests from external agencies and the public. Assist with gathering information for Freedom of Information Act Request. Responsible for contract management functions including computerized logging/tracking and archiving of all University contracts and custodial file management. Responsible for maintaining office equipment.
Job Related Minimum Required Education and Experience:- Requires a bachelor’s degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Preferred Qualifications:- Familiarity with USC policies, procedures and systems is preferred.
Knowledge/Skills/Abilities:- Must have excellent interpersonal and secretarial skills.
- Proficient with Microsoft Word and Excel.
- Skilled at handling confidential and/or sensitive information.
- Self-motivated.
- Ability to communicate effectively.
Job Duty:Opens, dates and distributes mail to office staff. Answers main telephone lines for the department as well as other clerical and receptionist duties; including greeting the public and University officials. Responsible for the reorganization and maintenance of the office filing system including coding, listing, file preparation and filing and archiving.
