Hybrid Position*
The Executive Assistant provides high-level administrative support to senior executives, including the Chief Banking Officer, and other members of the executive team. This role is responsible for managing complex schedules, facilitating communication with stakeholders, coordinating meeting and travel itineraries, and supporting administrative tasks for strategic initiatives. The Executive Assistant ensures the executive office operates efficiently and maintains the highest standards of professionalism and confidentiality.
Responsibilities
Deliver comprehensive administrative support, including calendar management, scheduling, and travel arrangements.
Manage all incoming communications (phone, email), ensuring prompt responses and appropriate follow-up.
Coordinate the distribution of event tickets, including sporting and customer entertainment events.
Organize and maintain both digital and physical files for efficient document retrieval.
Prepare and manage monthly delivery of executive KPI reports, organizational charts and other reports and presentations as required.
Coordinate meetings and events, including logistics such as venue selection and catering.
Attend meetings to record minutes, track action items, and ensure timely follow-up on deliverables.
Screen, prioritize, and respond to correspondence on behalf of executives.
Draft, proofread, and prepare professional communications, including emails, memos, and presentations.
Manage sensitive and confidential information with the utmost discretion.
Arrange detailed travel itineraries and manage expense reports and reimbursements.
Continuously develop expertise in administrative tools and systems to support the team.
Foster a positive work environment by participating fully as a team member.
Schedule, prepare, and distribute agendas and materials for executive staff meetings.
Maintain calendars and files for executives’ non‑bank board and committee affiliations.
Provide ad‑hoc support to Directors and Business Line leaders under the direction of the Chief Banking Officer.
Physical and Sensory Requirements
Prolonged periods sitting at a desk and working on a computer.
Regularly required to drive a motor vehicle and attend meetings at various venues, including customer offices and properties.
May be required to lift files / materials up to twenty pounds to move them between locations.

Education, Training and Experience
Associate or bachelor’s degree preferred; equivalent work experience considered.
Three (3) to five (5) years of experience supporting senior or executive management.
Exceptional organizational and time‑management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Ability to anticipate needs, think critically, and solve problems proactively.
Strong interpersonal skills; ability to interact effectively with all levels of management.
Demonstrated ability to maintain confidentiality and exercise discretion.
Ability to work independently and manage multiple priorities in a fast‑paced environment.
