About the Role

Are you organized, detail-oriented, and driven by helping teams operate efficiently? We're looking for an Administrative Assistant who thrives in a fast-paced, construction-focused environment and can keep people, processes, and priorities on track.

In this role, you'll be the central hub for coordination, communication, and compliance-supporting managers, employees, and field teams to ensure seamless daily operations. From managing vendor documentation to assisting with prequalifications, insurance, and onboarding, you'll play a vital role in keeping our projects and people moving forward.

What You'll Do - Organize. Support. Deliver.

  • Provide administrative and compliance support across multiple departments to ensure efficient office operations.
  • Manage correspondence, emails, calls, and daily office activity-handling confidential information with discretion and professionalism.
  • Oversee mail delivery, supply orders, and general office maintenance while coordinating with vendors and service providers.
  • Assist with bids and prequalifications by gathering financial, safety, and insurance data, updating portals, and tracking submission deadlines.
  • Coordinate with brokers and agents on insurance certificates, bonding, and renewals-ensuring all compliance documents are up to date and stored properly.
  • Manage onboarding for subcontractors, including collecting W-9s, COIs, MSAs, and ACH information.
  • Partner with HR and IT to support employee onboarding, site access, badging, and basic technology requests.
  • Work with internal departments-including Purchasing, Accounting, HR, and Operations-to support workflow and ensure documentation accuracy.
  • Serve as a liaison to Marketing for business cards, branded materials, and company events.
  • Support fleet compliance by tracking registrations, insurance cards, ticket payments, and maintenance records.
  • Coordinate meetings, events, and celebrations in alignment with budgeted spending.
  • Maintain organization across multiple projects, timelines, and requests, while providing responsive communication and proactive follow-up.
  • Assist management with ad-hoc reports, tasks, and business initiatives as needed.

What You Bring

  • 2+ years of administrative experience in construction, contracting, or a specialty trade environment.
  • Strong organizational, communication, and multitasking skills with the ability to support multiple teams.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
  • Familiarity with construction processes, subcontractor onboarding, and compliance documentation.
  • A proactive mindset with a high level of professionalism, accuracy, and attention to detail.
  • High School Diploma or equivalent required; college coursework or relevant certifications preferred.
  • What Success Looks Like

  • 100% on-time submissions for prequalifications, portal updates, and compliance documents.
  • Zero expired COIs or outdated compliance materials.
  • All prequalification requests completed within 48 business hours of assignment.
  • Clear, timely, and professional communication in all interactions.
  • Emails and internal requests addressed within 24 business hours.
  • Issues, delays, or risks escalated promptly to management.
  • Consistent alignment with Shared Services, ensuring standardized processes across branches.
  • Active partnership with internal teams to streamline administrative workflows.
  • Upholding company values of professionalism, respect, and accountability.

  • Work Environment
