We're seeking an Administrative Assistant to join our growing team.

How you'll make us better :

  • Manage all administrative functions for assigned executives, including complex calendar management, travel arrangements, cross functional meeting coordination, and taking minutes
  • Organize, prioritize, and appropriately handle time-sensitive, confidential information and ensure actions required are addressed in a timely manner
  • Organize and assist with team activities such as department and all-hands meetings, off-sites, and team social events
  • Coordinate meetings with internal stakeholders and vendors including meeting preparation, site set up, and post meeting follow up
  • Obtain, assemble, and analyze information and data from a variety of sources in order to compose and produce various business correspondence, reports, confidential documents, and / or forms
  • Interface regularly with various levels of internal team members and external partners, providing information for both routine and complex inquiries
  • Work closely with the leadership team and other assistants to provide support to the organization
  • Manage expense report coordination and submission
  • Oversee contract administration, including monitoring renewal timelines and facilitating negotiations or replacements as needed
  • Review and approve invoices for essential business functions
  • Maintain and manage a communications calendar, ensuring regular updates and posts
  • Monitor and review department related services and expenses, coordinating changes or cancellations as appropriate
  • Support onboarding for new hires and contractors
  • Provide general office support as needed, including front desk coverage, assisting with office operations and responding to ad hoc requests
  • Perform other duties, as assigned

Your special skills :

  • Strong proficiency with Microsoft Office products and applications such as Outlook, Teams, Word, PowerPoint, and Excel
  • Strong written and oral communication skills
  • Strong problem solving and critical thinking skills
  • Strong organizational and project management skills
  • Ability to maintain complete confidentiality, possess a professional demeanor, and exercise discretion at all times
  • Ability to balance and manage multiple projects and priorities while working under tight deadlines with limited supervision
  • Ability to recognize and respond to emerging needs, ensuring smooth operations through early intervention
  • Ability to establish and maintain good working relationships with other departments, team members, and external partners
  • Prerequisites for success :

  • Associates degree required
  • Five (5) years of advanced administrative support, meeting planning, and calendar management experience required
  • Some experience with AI tools such as MS Copilot a plus
  • Accurate and efficient typing skills
