ModMed is hiring a driven Recruiting Coordinator to join our positive passionate and high-performing Talent Acquisition Team focused on creating a positive welcoming and memorable experience for all candidates. This is an exciting opportunity to be part of a fast-paced Healthcare IT company that is truly Modernizing Medicine!

This role is ideal for an individual with proven experience focusing on :

  • Operational Excellence : Driving efficiency continuously improving processes and ensuring smooth predictable hiring workflows.
  • Attention to Detail : Meticulous organization and accuracy in scheduling documentation and data management.
  • Candidate Engagement : Creating a positive welcoming and memorable experience for all candidates from the first contact through their onboarding.
  • Collaboration : Working effectively with recruiters hiring managers and cross-functional teams (e.g. HR IT) to keep the hiring process aligned and on track.

    • Your Role :

  • Interview Scheduling and Logistics :

    • Coordinate high volume complex interview schedules (virtual and in-person) across multiple time zones for candidates and interviewers often involving candidate negotiations.

  • Manage and confirm all logistical details including sending clear interview confirmations and acting as the primary point of contact for candidate inquiries.
  • Candidate Experience :

    • Maintain timely and professional communication with candidates ensuring they feel supported informed and excited about the opportunity.

  • Gather and track candidate feedback and proactively address any issues to maintain a high-touch positive experience.
  • Process and Systems Management :

    • Ensure data integrity by accurately inputting updating and maintaining candidate information within our Applicant Tracking System (ATS - experience with systems like Greenhouse Lever or Workday is a plus).

  • Own the offer generation process ensuring all documentation is accurate and compliant.
  • Identify opportunities to streamline existing processes and actively contribute to the development of recruiting operational standards.
  • Team Collaboration :

    • Partner closely with recruiters and hiring managers to understand their hiring priorities and capacity.

  • Coordinate interview team debrief sessions and manage follow-up communication to facilitate timely hiring decisions.
  • Assist with ad-hoc projects recruiting events and reporting as needed.

    • Skills & Requirements :

  • 24 years of experience in a high-volume Recruiting Coordinator HR Coordinator or administrative support role preferably within the technology industry.
  • Exceptional organizational skills and an obsessive attention to detail.
  • Demonstrated ability to manage multiple priorities simultaneously in a fast-paced high-pressure environment.
  • Excellent written and verbal communication skills; comfortable interacting with candidates at all levels.
  • Proficiency with calendar management tools (e.g. Google Suite Outlook) and experience with an ATS.
  • A proactive problem-solving mindset with a commitment to operational excellence.
  • This position is based in our Boca Raton Florida location hybrid work schedule.
