Primary Purpose of the Organizational Unit:The College of Arts & Sciences promotes discovery and learning by students and faculty in the sciences, the humanities, and the arts. Firmly grounded in a tradition of rigorous disciplinary inquiry, the College also recognizes the value of connections made across disciplinary boundaries and so supports and encourages interdisciplinary and collaborative scholarship and teaching. The College is dedicated to the liberal arts mission of higher education, which is to develop the knowledge and understanding needed by citizens of a free and just society. The Office of Research in the College of Arts & Sciences supports faculty research, scholarship, and artistic achievement. We help identify external funding sources, plan and write competitive proposals for grants and fellowships, meet budget requirements, deadlines, and internal and external guidelines, coordinate grant administration and accounting, and navigate grant administration.
Position Summary:Position independently manages all aspects of the pre-award process for the College of Arts & Sciences. CAS, the largest academic unit, with over 450 faculty, covers a broad array of disciplines across 21 departments and programs, which requires the position to maintain a broad knowledge base of funding agencies. The number and dollar amount of proposal submission has been steadily increasing, and this position plays an important role in the ultimate success of these proposals. Position provides orientation to new faculty and collaborates directly with faculty to identify funding and budgetary needs for submissions. Position guides faculty through the application process, proposal preparation, and full budget preparation. Position requires efficient use of UNCG’s internal Cayuse proposal routing platform, plus knowledge and use of Federal agency submission platforms, such as for NIH, NSF, and Department of Defense.
Minimum Qualifications:- Bachelor’s degree from an accredited college or university in any relevant field and a minimum of one to three (1-3) years of related professional experience.

Essential Tasks:- Educate investigators to ensure knowledge and understanding of sponsor guidelines
- Communicate any pertinent application information to the PI, Associate Dean for Research, and the Office of Sponsored Programs regarding sponsor guidelines and university policies/ procedures
- Assess stages of the proposal submission process, organize workflow, apply knowledge of both internal and external systems, identify problems, and make changes as needed
- Create applications and coordinate the internal grant submission process using Cayuse
- Examine, analyze, and approve application forms and budget documents for compliance with sponsoring agency and University policies/regulations
- Assist faculty with identifying sources for grant funding by conducting searches for funding opportunities, usually by searching sponsor websites
- Accurately prepare various reports, including monthly CAS awards and submissions reports, and Departmental awards and submissions reports as needed (at least annually)
- Participate in quarterly Departmental Research Administrators Workgroup (DRAW) meetings
- Participate in quarterly Research Administrators Network (RAN) meetings
- Keen attention to scheduled deadlines, formatting requirements, and each individual sponsor regulations.
- Independently adjust workload in accordance with submission demands related to agency deadlines
- Identify the needs of faculty and establish a timeline for their submission
- Maintain records of submissions, including attachments that could facilitate future submissions for PIs

Key Responsibility:Proposal Development
Essential Tasks:- Assist CAS faculty with all aspects of the pre-award external funding application process. This often requires following strict guidelines, which often vary among funding agencies
- Educate investigators to ensure knowledge and understanding of sponsor guidelines
- Draft proposal budgets, determining personnel cost, indirect costs, and other costs as needed for each proposal
- Draft budget justification narratives
- On behalf of PIs, work closely with the Office of Sponsored Programs staff, the Office of Contracts and Grants staff, and external sponsor staff to ensure applications are submitted on time, within the university and funding agency guidelines, and to resolve any potential problems
- Contact the funding sponsor for clarification concerning questions about the proposal budget and/or application details.
- On behalf of PI’s, work closely with subcontracted universities and agencies to collect necessary docs for grant submission (for both UNCG and funding agency purposes)
- Assist faculty member in preparation of application forms (general application forms, grants.gov, Fastlane, ASSIST, etc.)
- Prepare and format various documents needed for grant submissions (biosketches, current & pending docs, etc.)

Essential Tasks:- Stay informed of changes to federal, state, local, and university regulations
- Regularly review agency websites for updated information
- Continue new faculty research grant policy orientations/training.
- Know and apply policies and guidelines from multiple funding agencies, including but not limited to NSF, NIH, NEH, NEA, DHHS, DOD, USDA, Whiting Foundation, NASA, Simons Foundation, and ACLS
- Know and apply CAS Fellowship policies and guidelines
- Develop and maintain CAS Pre-Award Manual. This manual provides a central place for storing University and agency guidelines and processes, with changes in real time, to increase efficiency when looking for details for individual submissions.
- Be able to independently resolve and/or develop recommendations for unprecedented issues and problems, as well as be a resource for others in resolving them
- Know software applications and systems for information and record purposes, as well as provide training and troubleshooting for faculty using Cayuse.
- Assist Office of Sponsored Programs staff with CAS-related grant questions and in the completion of grant applications upon request

Essential Tasks:- Act as a contact between faculty and OSP when additional information or revisions are requested
- Support and be the first line of contact for faculty members from their decision to apply for a grant until it is submitted. This includes budget development, overview of grant document requirements and guidance, Cayuse initiation through completion, grant budget and document review and revision, acting as a liaison between subcontracts and other external entities as needed, and finally, sponsor application assistance, review, and completion.
