Accounts Payable Clerk

JOB SUMMARY

The primary function of the Accounts Payable Clerk is to control accounts payable in a timely and thorough manner within the department.

DUTIES AND RESPONSIBILITIES

1. Posts invoices to accounts payable data entry system, sets up invoices for payment on system. Posts all expenses to the general ledger system.

2. Prints payables checks as directed by department manager, obtains proper endorsements and remits to payee. Obtains proper written authorization for non-purchase-order check requests.

3. Codes inventory purchase orders and obtains coding on non-inventory purchase orders from the appropriate party.

4. Generates and maintains A/P files and records. Files all invoices, reconciles with vendor statements. Enters and maintains master vendor fi le. Troubleshoots and resolves discrepancies. Receives A/P phone calls and responds to requests of vendors at the direction of supervisor.

5. Assists other accountants in tasks assigned from time to time.

6. Assists with other tasks as needed in a timely manner.

7. Assists with electronic storage of A/P documents.

QUALIFICATIONS

Ability to read and comprehend English instructions and information. High school diploma or
the equivalent. Attention to detail. Working knowledge of Excel and other accounting programs. Excellent communication skills. Must have a professional personal appearance.

WORKING CONDITIONS

May require lifting up to 35 pounds. Will stoop, kneel, crouch, crawl, reach, handle and feel. Wil l be exposed to noise, vibration, dust, exhaust fumes, paint, and other hazardous and non-­ hazardous materials. The other part of this position will req u ire deskwork, including use of computer video monitors, telephone, ten-key calculator and completing paperwork.
