The Administrative Assistant provides high-level administrative support to the Senior Management Team and serves as a resource across multiple departments. This versatile role is designed to support a wide range of initiatives, ensuring seamless coordination, communication, and execution of key business activities. The position requires a high degree of adaptability, attention to detail, and the ability to manage a wide range of responsibilities with professionalism, discretion, and minimal oversight in a dynamic, fast-paced environment.
ESSENTIAL RESPONSIBILITIES
- Demonstrates Schneller values and supports the organizational commitment to ensuring quality products and processes.
- Provides administrative support to senior leaders across the organization, adapting to varied needs and priorities.
- Coordinates schedules, domestic and international travel, and resources for internal and external meetings, conferences, advisory boards, and other events.
- Prepares and edits correspondence, reports, and presentations for internal and external use, often compiling information from multiple sources.
- Maintains organized files, records, archives, and documentation relevant to senior leadership and cross-functional activities.
- Plans, manages, and executes all aspects of company tradeshows and events, including project management, budgeting, vendor relationships, logistics, and follow-up reporting.
- Organizes and manages internal and external business-related events, such as leadership meetings, customer visits, vendor engagements, and industry functions, in coordination with relevant departments.
- Assists with company communication tools, including SharePoint and the corporate website, ensuring content is accurate and up to date.
- Provides support for CRM administration, including data entry, reporting, and accurate tracking of customer interactions.
- Coordinates the development, distribution, and inventory of marketing and communication materials.
- Serves as a flexible resource for ad hoc projects and initiatives across the business, stepping in wherever support is needed.
- Provides occasional support to Human Resources, as needed, in alignment with broader administrative responsibilities.
WORK EXPERIENCE
Experience managing, coordinating, and directing domestic and international tradeshows.Experience leading execution and expense management around marketing initiatives.Experience measuring and tracking marketing metrics.QUALIFICATIONS & REQUIREMENTS
Two-year associate degree from an accredited university or minimum of 5 years administrative experience, preferred.Strong grammar, proofreading, business writing, and presentation development skills.Knowledge of standard office equipment, such as printers, copiers, phone systems, etc.Proficiency in use of Microsoft Word, PowerPoint, Access, and Outlook.Strong mathematical skill, particularly in Microsoft Excel.Strong organization / time-management skills, professional demeanor, and ability to handle information with discretion and confidentiality.Flexibility to respond to changing priorities and manage multiple activities and projects effectively.Ability to work independently and cross functionally to establish priorities and meet deadlines.Project Management experience and ability to manage and influence non-direct resources.Familiarity with hotel, meeting, and food service protocol.Familiarity with trade show protocol, preferred.Experience with payroll and timekeeping modules, preferred.To conform with US export regulations and ITAR 120.15 and EAR Part 772, incumbents for this role must be eligible for any required authorizations from the US government.PHYSICAL REQUIREMENTS
