Accounts Payable and Receivable Coordinator

We are seeking an Accounts Payable and Receivable Coordinator for our growing team. You will play a vital role in maintaining the financial health of our organization. Your attention to detail, accuracy, and ability to manage essential financial tasks will ensure the smooth operation of our accounting processes. The Accounts Payable and Receivable Coordinator role touches on accounts payable, accounts receivable, vendor data, multiple state sales tax accounts, and expense records. The successful candidate is a critical thinker, self-motivated, possesses the ability to manage multiple projects, works efficiently under pressure, strives to meet deadlines, and is a strong team player.

Key Responsibilities:

• Accurately input vendor invoices, company credit card transactions and employee expense reports into the accounts payable system. Regularly review transactions for accuracy and compliance with company policies.

• Reconcile bank records and record deposits in the accounts receivable system. Collaborate with team members to resolve any discrepancies and ensure all payments are recorded correctly.

• Oversee end-to-end vendor data processes, including data collection, validation, and analysis from multiple external partners.

• Maintain proper organization of all electronic and physical records for all financial documents. This includes monitoring and updating records for vendor and client accounts and ensuring compliance with internal standards for document management.

• Support the accounting team by assisting with reconciliation processes, reviewing financial records for accuracy, and ensuring all transactions are properly documented for reporting purposes.

• Act as the first point of contact for clients with past due payments. Send out reminders and initiate communications to facilitate prompt payment. Collaborate with senior team members if further action is for non-responsive or more complex clients.

• Manage sales tax return filings, state sales tax registrations and renewals, and estimated tax payments to ensure compliance with state and local tax regulations.

What You Bring:

Required qualifications:

• 3 – 5 years' experience in Accounting or Bookkeeping.

• Experience with NetSuite, Sage Intacct or similar accounting software solutions preferred.

• Meticulous attention to detail.

• Strong analytical and problem-solving skills.

• Demonstrated ability to make independent, well-reasoned decisions.

• Able to work collaboratively across disciplines with excellent communication, organizational, and collaborative skills.

• Eligible to work in the U.S. without visa sponsorship.

This is an exempt position anticipated to be between $55,000 and $70,000 annual salary based on experience and knowledge shown in the interview process.
