Reports to : Director, Youth and Community Education

General Purpose : The Assistant Program Manager provides strategic and logistical support and leadership for all programs serving young students (grades K-12) and adult non-degree community education for life-long learners. This role will also manage and implement any new or special initiatives related to the K-12 and community audiences. The Assistant Program Manager will work directly with the Director of Youth and Community Education to ensure the overall quality of programming. This role oversees year program management, student behavioral support, and family communications and events.

Youth Programs currently include : Young People’s Studios (YPS) and High School Studios (HSS), MICA’s art and design curriculum focused on K-12 learners, the PreCollege Art and Design Residency Program (PreCollege), MICA’s intensive college-level art and design curriculum focused on gifted high school students), the Art and Design College Accelerator Program (ADCAP) a program designed to widen the pathway toward higher education for Baltimore’s underserved high school youth of diverse backgrounds with aspirations to attend a four-year undergraduate program in art and design, Community Education (CE) Adult art and design courses open to the MICA community.

Summary of Essential Functions : Under the direction of and in partnership with the Director of Youth and Community Education, the position manages the overall planning, coordination, and administration of non-degree programs and partnerships. Responsibilities include managing scheduling, communications, program logistics, and basic operational needs. The role provides general classroom and program support, maintains routine records, and helps ensure smooth day-to-day operations. Additional duties involve coordinating class events and activities, supporting enrollment and reporting processes, and assisting with problem-solving as issues arise. The position will manage residential programming, manage select logistical tasks, and serve as a liaison across departments.

Position Responsibilities :

Oversee and supervise year-round courses.

Confirm class schedules, instructor assignments, and room usage

Monitor supplies, ensure classroom readiness, and maintain emergency and health records along with the Director

Manage day-to-day challenges with families, faculty, and school partners.

Escalate concerns to the Director when necessary and document resolutions.

Support program scheduling and course management

Input registration details, including titles, times, and fees, and ensure accurate faculty bios and class descriptions.

Draft and distribute communications for parents, instructors, youth participants, and school partners.

Manage daily communications with families, respond to logistical inquiries, and prepare welcome packets and program information.

Maintain regular contact with school counselors, teachers, and community partners.

Coordinate and plan orientations for students, families, and faculty.

Review and send onboarding materials, handbooks, and required documentation.

Schedule staff meetings, training, and ongoing faculty communication touchpoints.

Provide instructional support and oversight during program hours.

Track academic deadlines, collect and distribute student rosters and ID tags, and maintain attendance and incident reports.

Coordinate with the marketing department on outreach, promotions, and program visibility strategies.

Support school partnership activities by assisting with visits, presentations, and operational communication.

Identify opportunities to enhance program effectiveness and strengthen relationships with school partners.

Plan and organize program exhibitions, faculty-led workshops, lectures, and visiting artist engagements.

Support photography, documentation, and digital archiving of student work.

Assist with equipment, room setup, and end-of-program showcases.

Perform other duties as assigned

Knowledge, Skills, and Abilities :

MICA seeks a creative, strategic, self-motivated, and detail-oriented educator to support the design, development, and delivery of high-quality youth and community programming.

Strong organizational, communication, and coordination skills, with the ability to manage schedules, logistics, and multiple priorities in a fast-paced program environment.

Understanding of youth development, community-based learning, and non-degree educational programming.

Proficiency with digital tools and administrative systems, including LMS platforms, Google Drive, Adobe Creative Suite, spreadsheets, and basic data tracking and reporting.

Ability to work effectively with families, instructors, youth, and school partners, demonstrating sound judgment, problem-solving skills, and a commitment to responsive, customer-focused service.

Minimum Qualifications :

Bachelor's Degree required

3-5 years of teaching experience required

Experience in higher education administration or arts administration

Knowledge of exposure to pedagogy of art education for K-12 students

Preferred Qualifications :

Master’s Degree in art / design education preferred

Experience training faculty in higher education

Conditions of Employment :

Must complete a satisfactory Background Check and Fingerprinting

This role operates on a non-traditional work schedule and requires flexibility in hours and consistent on-campus availability, including evenings and weekends, as necessary to fulfill essential job functions.
