Vendor Manager
The Vendor Manager is responsible for overseeing and managing IT vendor relationships to ensure the organization receives optimal value and service from its technology partners. This role coordinates software renewals, obtains vendor quotes, and processes IT purchase requisitions and payments in a timely manner, in compliance with procurement policies and budget guidelines. The Vendor Manager ensures accurate record keeping of software licensing, renewal dates, costs, and payment status, supporting financial accountability and operational continuity. By maintaining strong vendor partnerships and proactively managing contracts and payments, this position plays a critical role in sustaining the organization's technology operations and strategic objectives. Hiring Range is $42,000 - $46,000 USD Annual. The final salary offer will be determined based on the candidate's qualifications and experience. Equivalent combination of education, training and relevant professional experience will be considered.

Maintain a comprehensive record of all IT-managed software, including tracking renewal dates, contract terms, associated costs, and entering and monitoring all related IT purchase requisitions for software renewals and technology purchases.
Communicate with vendors to obtain updated order forms for annual software renewals.
Gather and evaluate vendor quotes to ensure cost-effective solutions.
Ensure software licensing compliance and proper documentation of vendor agreements.
Provide support in vendor performance evaluation and contract management.
Ensure timely processing of purchase requests following procurement policies and procedures.
Collaborate with IT and Finance teams to facilitate vendor payments and approvals.
Maintain accurate records of purchase orders and financial transactions related to IT procurement.
Track and maintain records of all allocated technology (e.g., hotspots, cell phones, etc.) and their usage, and monitor and reconcile related billing across multiple budget sources.
Work with vendors to resolve billing discrepancies and ensure accurate invoicing.
Assist in ensuring allocated technology, IE : Hotspots, Cell Phones, etc. expenses align with budget allocations.
Track work and associated time using tickets and tasks within the current ticketing platform.
Associate's degree in Business, Information Technology, or a related field preferred.
3+ years of experience in vendor management, procurement, or IT asset tracking.
Experience managing software renewals, contracts, and vendor relationships.
Familiarity with requisition processing and procurement policies.
Strong organizational skills with attention to detail.
Ability to manage vendor relationships and negotiate pricing.
Excellent verbal and written communication skills.
Proficiency in Microsoft Excel or other tools for tracking IT assets and renewals.
Ability to handle multiple tasks while ensuring deadlines are met.
Experience with financial requisition systems and IT procurement workflows is a plus.
Responds quickly and clearly to IT support requests.
Documents steps taken to fix common problems.
Tests systems thoroughly before rollout.
Communicates outages or changes in nontechnical language.
Follows security protocols without shortcuts.
This is an on-campus position that requires employees to be physically present at a campus location at least two days per week.
This role may require occasional travel to different office locations and events.
Ability to perform essential physical tasks such as sitting, standing, walking, lifting, or other job-specific movements as needed.
This position is full time, requiring a standard 40-hour work week.
This role is classified as hourly, non-exempt under the Fair Labor Standards Act (FLSA).
This position is not ORP eligible.
The Vendor Manager does not oversee the IT budget but is responsible for tracking financial obligations and ensuring timely requisitions.
