CLASS DESCRIPTION
The annual salary range is $88,656 to $107,292. Placement within this range is dependent upon qualifications. A 3% Cost of Living Adjustment has been approved for each July 2026 and July 2027. Successful candidates are also eligible for annual merit increases upon excellent performance.
What is the Role?
Join the City's team as the next Public Safety Executive Assistant for the El Cerrito Fire Department ! In this high-impact role, you will provide essential administrative support to the Fire Chief and the command staff. This position ensures the department's daily operations run smoothly and efficiently, all while handling critical responsibilities with integrity and discretion. This position serves as a key role in the Fire Chief's office, providing advanced administrative, analytical, and project management support. The Public Safety Executive Assistant is often the first point of contact for both the public and department personnel, which requires both strong customer service skills and exceptional administrative skills. This role often exercises independent judgement in many of their day-to-day tasks.
The daily responsibilities will be diverse and fast-paced, ranging from managing calendars and coordinating meetings, to preparing confidential documents, processing payroll, and supporting department-wide initiatives. Your work will influence every facet of the department, including records management, report preparation, policy compliance, and public communication. You will collaborate regularly with other City departments, outside agencies, and community members, playing an important role in how the Fire Department serves the public. ESSENTIAL FUNCTIONS (DUTIES)
Essential responsibilities and duties may include, but are not limited to, the following :
Provides confidential administrative and project support for assigned management and departmental staff; acts as a liaison between management and other staff, outside agencies, and the public, coordinating resolutions when appropriate.Screens and assists visitors and callers, assessing priority of requests and providing information from codes, policies, and procedures.Processes department payroll timesheets; ensures accuracy of reported time and supervisory approvals; maintains database of leave accrual, overtime, and compensatory time; ensures compliance with personnel memorandum of understanding in reference to acting pay, stipends, and related provisions; acts as the liaison between department staff and human resources / payroll staff as appropriate.Monitors and orders office supplies; prepares, processes, and tracks purchase requisitions for services and materials; receives vendor invoices; prepares invoices or requests for payment for management approval; monitors expenditures.Organizes and carries out administrative assignments; researches, compiles, and organizes information / data from multiple sources on a variety of specialized topics including Public Records Act requests, agendas, minutes, resolutions, reports, and other documents- with responsibility for composing, editing, and proofreading for clarity, accuracy, and grammar.Composes, edits, and proofreads a variety of complex documents for department management and staff.Coordinates and maintains multiple calendars, schedules meetings and appointments for assigned management and departmental staff; schedules and / or coordinates meetings, seminars, conferences, retirements, ceremonies, and training sessions for department staff.Acts as meeting and / or committee coordinator including preparing agendas and informational packets, setting up the room, operating audiovisual equipment, and taking and transcribing minutes for assigned boards, committees, and commissions.Processes, prepares, organizes, maintains and retains department records, databases, permits, and files - including confidential personnel files in accordance with the city's retention and destruction schedule.QUALIFICATIONS

Education :
Equivalent to an associate degree from an accredited college or university in public administration, business administration or a closely related field. A bachelor's degree is desirable.Experience :
Three (3) years of increasingly responsible clerical and / or administrative support experience, preferably in a public safety environment.Licenses and Certifications :
Individuals who are appointed to this position will be required to maintain a current and valid California Driver's License and satisfactory driving record throughout employment OR demonstrate the ability to travel to various locations in a timely manner as required in the performance of duties.A current and valid out-of-state license may be used upon hire and a valid California Driver's License must be obtained within six (6) months of appointment.Knowledge and abilities may include, but are not limited to, the following :
