Position Summary :

The Program Administrator Assistant supports the Program Director in the day-to-day management of residential services for at-risk youth. This role helps ensure that operations run smoothly, documentation is completed accurately, and all licensing, regulatory, and internal standards are maintained. The assistant acts as a liaison between staff, youth residents, partner agencies, and administration, playing a vital role in creating a structured, safe, and supportive environment.

Key Responsibilities :

  • Assist the Program Director with daily administrative tasks, scheduling, and program coordination.
  • Maintain organized and up-to-date client and employee files and documentation in compliance with licensing and internal standards.
  • Onboarding employees
  • Gathering documents for Client admissions.
  • Develop and update policies and procedures
  • Assistance with creating daily activities, weekly / monthly menu planning.
  • Conduct weekly audits medication and ordering medication refills or follow ups
  • Support communication with staff regarding shift coverage, training schedules, and incident reporting.
  • Help track resident progress and coordinate documentation with case managers and behavioral health staff (visits and phone calls).
  • Prepare reports, memos, and communications as directed.
  • Monitor compliance with program policies, procedures, and safety regulations.
  • Assist with new staff onboarding and ensure training documentation is properly submitted.
  • Maintain confidentiality and a trauma-informed, youth-centered approach at all times.
  • Attend all trainings for MCH
  • Qualifications :

  • High school diploma or GED required / Degree,
  • Experience in a group home, behavioral health, or residential program is prefered
  • Strong organizational and communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data entry.
  • Must pass an APA / CBC background check and meet all state / federal licensing requirements.
  • Must obtain a level one fingerprint card print clearance card.
