Position Summary
The Purchasing and Shipping Coordinator supports both purchasing and shipping operations to ensure smooth material flow throughout the organization. This role assists with the procurement of products and supplies, coordinates daily shipping tasks, and serves as a backup to the Shipping Coordinator. Responsibilities include managing vendor relationships, maintaining accurate inventory levels, processing purchase and shipping documentation, and ensuring all customer orders and shipments are executed accurately, efficiently, and in compliance with regulatory and safety requirements.
Essential Responsibilities and Duties
Purchasing and Vendor Management :
- Support the Supply Chain Manager with daily purchasing operations.
- Conduct vendor research to identify reliable, cost-effective suppliers and negotiate pricing and terms.
- Maintain ongoing vendor relationships and ensure compliance with contracts and quality expectations.
- Track purchase orders and ensure materials are delivered on schedule and within budget.
- Maintain accurate purchasing and receipt records for auditing and reporting purposes.
Inventory and Demand Planning :
Assist in analyzing quarterly and annual data to forecast purchasing needs.Maintain inventory accuracy through evaluation of reorder points and stock levels.Collaborate with warehouse personnel to optimize space utilization and inventory control.Support cycle counting procedures, including generating weekly worksheets and coordinating with off-site locations to verify stock levels.Shipping and Logistics Coordination :
Prepare small parcel shipments (UPS / FedEx) for outgoing orders, including printing labels, completing customs paperwork for international shipments, and verifying hazardous material documentation.Select appropriate lots for outgoing truck orders based on the production schedule.Confirm carrier rates, prepare bills of lading, and ensure all shipping documentation is complete and accurate.Serve as backup to the Shipping Coordinator during absences or peak workload periods.Verify incoming shipments from satellite locations, ensuring receipt accuracy and condition.Follow pre-shipment checklists and ensure compliance with hazardous materials handling and shipping regulations.Cross-Departmental Support :
Collaborate closely with production, customer service, and warehouse teams to ensure customer satisfaction.Assist in investigating and resolving issues related to shipping discrepancies, damaged materials, or incorrect documentation.Provide general administrative support to purchasing and shipping functions as assigned.Required Knowledge, Skills, and Abilities
Strong understanding of purchasing processes, supply management systems, and logistics coordination.Familiarity with hazardous materials handling and shipping documentation.High attention to detail and ability to maintain accuracy in data entry and documentation.Proficiency in Microsoft Office and ERP systems.Excellent organizational, communication, and problem-solving skills.Ability to work independently with limited supervision while managing multiple priorities.Customer-service-oriented mindset and strong teamwork skills.Education and Experience
High school diploma or equivalent required; Associate or Bachelor's degree in Supply Chain, Business Administration, or related field preferred.Two or more years of experience in purchasing, logistics, or warehouse operations.Prior experience in shipping or freight coordination strongly preferred.Hazardous materials training (HAZMAT) required upon hire; ongoing certification maintenance expected.Physical and Work Environment Requirements
Primarily operates in an office environment with regular time spent in the warehouse.Frequent standing, walking, bending, and lifting up to 50 lbs; may occasionally handle heavier loads with assistance.Must wear steel-toe boots and appropriate PPE in the warehouse.Exposure to noise, dust, and temperature variations typical of a warehouse environment.Limited travel may be required between company locations.Performance Expectations
