Job Summary
The Traffic Project Coordinator is responsible for the coordination and execution of designated business responsibilities for assigned branded account(s). This role will manage and execute specific client-related tasks and will interact directly with Account Management, Creative teams, including Production, Ad Ops, Accounting, and in some instances the clients. They will act as a liaison between internal Moroch departments and the Account Management market lead.
Responsibilities
Process Development & Maintenance
- Collaborate with Client Operations Team to streamline processes based on client's scope of work
- Participate in discovery / review sessions with each internal department to identify opportunities for improving current processes.
- Provide consistent feedback on new and existing processes and procedures.
- Adopt a proactive approach.
Traffic
Work with Account Management lead to obtain direction for creative fulfillment and trafficking from market to market on both local and DMA wide plansReview and input traffic assets by media type into the master Smartsheet documentsCoordinate final traffic approval with the appropriate reviewers prior to release of traffic instructions to external vendorsEnsure all creative assets are trafficked by the due date as requested by media partnersIncluding but not limited to Broadcast / Site Direct / Programmatic / SEM / Social / OOH
Ensure all timelines for traffic are adhered to and flagging any delays in processManage all Existing Estimate requests for broadcast (if applicable)Work with Business Affairs to ensure T&R (shells, fills, and finished spots) are within cycleCreative Development & Versioning
Support coordination of the design and development of local creative assets between Account Management team and internal / external vendorsSupport coordination of versioning of creative assets after receiving client direction for creative executionCreative assets include, but are not limited to, TV, radio, display, social, OOH, digital video, connected TV, streaming audio, Snapchat, SEM, Direct MailAssist with opening and managing internal production jobs through ADV and through BasecampManage milestones for every internal creative projectManage all client creative revisions on internal projects through BasecampEnsure all production jobs are on time and within budgetAdhere to all timelines for all production jobs and adjust timing as neededEnsure legal approval is received on all production elements, as required by the clientSolicit final approval of all creative elements by Account Management LeadManage and maintain the Smartsheet(s) as developed for each clientDistribute the appropriate Smartsheet information to the traffic, broadcast, digital, SEM, and OOH disciplinesCommunication
Maintain open line of communication with the Account Management team on client expectationsParticipate in Account Management status meetings and client status / communication as requestedMaintain open line of communication with internal disciplines to ensure timely and accurate fulfillment of projectsRespond to, or acknowledge receipt, requests and emails within the same business day or within 24 hours at mostGenerate new ideas and provide recommendations on improvement of current Moroch / client processesFinancial Management
Process Purchase Orders as neededEnsure creative and versioning projects are completed within the approved client budgetIndividually assign each production invoice to its proper DMA / clientGenerate all estimates and pre-bills associated with internal production jobsSubmit expense reports timely and follow the Moroch travel policies for reimbursementQualifications
