Position Type: Full-Time


Job Summary

We are seeking a detail-oriented and organized Accounts Payable Administrator to join our team. This role is ideal for someone eager to build a foundation in accounting and administration. The successful candidate will be responsible for invoice processing, managing multiple shared Accounts Payable inboxes, vendor communications, ticket assignment in the Zendesk workflow, physical mail, and other essential support functions to ensure smooth day-to-day operations.


Key Responsibilities


Zendesk & Workflow Coordination

  • Monitor and assign Zendesk tickets daily to ensure accurate assignment and timely response.


Accounts Payable Support

  • Manage and organize multiple shared AP inboxes, ensuring timely responses to vendor inquiries.
  • Answer and return calls from vendors to resolve invoice or payment-related questions.
  • Process and distribute physical mail.
  • Stuff and mail checks for payment processing.
  • Reconcile vendor statements and follow up on outstanding checks and unresolved issues.
  • Assist with AP aging review and contribute to resolution efforts.
  • Assist with invoice processing in Sage 300 and QuickBooks.
  • Assist with payment runs in both Sage 300 and QuickBooks.

Vendor Management

  • Assist with setting up new vendors in the system, including gathering necessary documentation.
  • Complete vendor credit applications accurately and efficiently.

AP Automation and Systems Support

  • Support the future implementation and optimization of accounts payable automation tools.
  • Office and Administrative Support
  • Help maintain a clean and well-stocked office and kitchen (snacks provided by the company).
  • Support Accounts Payable Specialists by covering tasks during PTO or absences.
  • Assist the CFO and other department leaders with administrative tasks, scheduling, and document coordination.

Month-End and Interdepartmental Support

  • Assist with month-end close processes related to Accounts Payable.
  • Collaborate with other departments as needed to support financial operations and reporting.

Other Duties

  • Participate in special projects and contribute to process improvements.
  • Perform other tasks as assigned to support the accounts payable and office operations.

Qualifications


Education:

  • High school diploma or equivalent (Associate’s degree or coursework in accounting is a plus).

Experience:

  • 0–1 year in an office, accounting, or administrative role (preferred but not required).
  • Skills:
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Basic proficiency in Microsoft Office (Outlook, Excel, Word).
  • Familiarity with Zendesk or other workflow/ticketing systems is strongly preferred.
  • Experience with Sage 300 and QuickBooks is a plus.
  • Ability to work both independently and collaboratively in a fast-paced environment.

Compensation and Benefits

  • Hourly Pay Range: $20–$24 per hour. Comprehensive benefits package, including health, dental, vision, 401(k), and paid time off.
