Job Description : Personal Chief of Staff

Location and hours : Onsite in Miami; M-F 11-7 pm ET (with flexibility, and can vary)

Reports to : CEO & Spouse

Type : Full-time

Salary : $85k-$120k Annually (depending on experience)

Benefits : Employer-paid healthcare and PTO

Overview :

We're seeking an exceptionally organized, proactive, and trustworthy individual to serve as a Personal Chief of Staff to a high-performing, Miami-based CEO and his spouse. This role blends executive support, household management, and personal financial coordination to ensure optimal productivity across personal and business activities.

The ideal candidate thrives on keeping life running smoothly—balancing the details of daily operations with the discretion and judgment required to support a fast-moving, high-profile household.

Key Responsibilities :

Financial & Administrative Management

  • Manage and maintain QuickBooks for personal finances—tracking expenses, reconciling accounts, ensuring bills are paid on time, and maintaining financial visibility.
  • Coordinate with accountants, banks, and vendors to optimize personal and household financial management.
  • Monitor and suggest opportunities for savings, efficiency, and improved systems.

Personal & Lifestyle Support

  • Manage personal calendars , appointments, and reservations; anticipate needs and handle scheduling conflicts.
  • Book and coordinate travel —including flights, hotels, cars, and detailed itineraries.
  • Support personal shopping , returns, and special projects.
  • Plan and manage personal events —dinners, family gatherings, and celebrations—with attention to detail and quality.
  • Manage pet care for 2 dogs (German Shepherds), 2 cats, a bird, etc.

    • Household & Property Management

  • Oversee household operations including maintenance, cleaning, and vendor management.
  • Schedule and supervise contractors and service providers; ensure work is completed to high standards.
  • Maintain household inventories, manage deliveries, and ensure the home runs efficiently and beautifully.
  • Serve as a point of contact for all household matters, maintaining calm and order in a busy environment.

    • Required Experience and Qualifications :

  • 5+ years of experience in executive support, household management, or personal assistant roles.
  • Must live in Miami and be available to work onsite out of the Coral Gables residence weekdays from (about) 11am to 7 pm ET.
  • Prioritize general availability during Eastern Standard Time and be responsive outside of traditional "office hours" including evenings and weekends as needed.
  • Must be comfortable with dogs, cats, and other pets - you'll be helping to manage their daily care, occasional vet visits, etc.
  • Active driver's license and reliable transportation.
  • Proficiency with QuickBooks, Excel, Microsoft Office / 365 and modern productivity tools.
  • Experienced with financial records-keeping and capable of managing payments and other light finance tasks.
  • Extremely capable and reliable working remotely.
  • Highly organized, detail-oriented, and trustworthy with confidential information.
  • Excellent communication skills and professional demeanor.
  • A self-starter who anticipates needs, solves problems, and executes with excellence.
  • Flexible, service-oriented, and comfortable managing multiple priorities.
  • Friendly, adaptable, and someone who's able to pivot on a dime if needed to adjust for changing priorities.
