The Rhode Island Department of Corrections (RIDOC) is immediately seeking a proactive and highly organized Clerk Secretary for a contract assignment within the Office of Human Resources. This role is perfect for a self-starter with exceptional administrative skills, technical proficiency, and a commitment to handling sensitive HR information with the utmost discretion. You will be the central hub for administrative operations, supporting HR staff, managing employee records, and interacting frequently with employees, union officials, and external partners.
Key Responsibilities
- Provide comprehensive secretarial and office support for the busy Human Resources department.
- Execute precise data entry into the HR Access database and manage both electronic and hard-copy personnel files, including filing and retrieval.
- Serve as a primary point of contact, professionally handling all incoming inquiries via phone and in-person visits, while maintaining frequent contact with employees, union representatives, and external agency personnel.
- Prepare, screen, and finalize official correspondence and documents for signature, ensuring accuracy before copying, scanning, and distributing through various channels (email, interoffice, and US mail).
- Manage the HR calendar, schedule meetings, and maintain the functionality of modern office equipment (copier / scanner).
Qualifications & Requirements
Must possess the ability to take initiative and work independently, while also taking direction and collaborating effectively as part of a team.Excellent computer skills are required including proficiency with the Microsoft Office Suite (Word, Outlook, Access, and Excel).Excellent interpersonal skills and the proven ability to exercise the utmost discretion and professional judgment when handling confidential and sensitive information.S trong ability to multi-task in a high-traffic environment with frequent interruptions, maintaining a high standard of accuracy and detail-orientation.Ability to type at least 40 words per minute.High School Diploma or GED is required.Prior secretarial, administrative, or office support experience is necessary.
