Overview
We are seeking a highly organized and proactive Executive Assistant to support a senior executive overseeing content across television, editorial, and social platforms. This leader manages teams across multiple global offices, and the role requires strong coordination skills, professionalism, and the ability to handle complex schedules and priorities.
The Executive travels frequently, including monthly transatlantic trips, and maintains a fast-moving calendar with a high volume of internal and external meetings. The ideal candidate is resourceful, efficient, and experienced in supporting senior leadership within media or similar fast-paced environments.
Key Responsibilities
- Manage a complex, rapidly changing schedule for the Executive.
- Coordinate meetings across multiple time zones and international locations.
- Prioritize requests, anticipate needs, and ensure the Executive is prepared for all engagements.
- Support departmental operations, including budgeting and tracking administrative expenses.
- Assist with preparing materials for meetings, presentations, and special projects.
- Maintain organized documentation, files, and records.
- Arrange detailed domestic and international travel itineraries.
- Process and track expenses using company systems.
Qualifications
1–2 years of experience as an Executive Assistant within a media company or similar fast-paced environment.Experience supporting senior executives and working with C-Suite offices.Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word).Experience with travel and expense systems (e.g., Concur).Excellent organizational, communication, and time-management skills.Ability to work independently, handle confidential information, and adapt quickly to shifting priorities.
